I agree, but it's common in these sorts of things for the advance folks from both sides to find out likes and dislikes. One of my friends was involved some years ago in organizing a lunch in my state where the Queen would be a guest. They did find out what she liked and didn't like. It's just courtesy and very normal protocol.
