I've messed up BIG time regarding our holiday....

Family are going away on a UK break. Our caravan on a park. (Vardent leisure...never used them before)

I've majorly fucked up. I was sure we had booked to go on Monday (tomorrow!!!) DH asked me to check what time we can arrive on site and I've noticed we were meant to arrive today!!

I have tried calling... reception closed at 5pm.
I've emailed and said we would be arriving tomorrow and asked them to call me.
I plan on calling them when phone lines open at 8:30am.

The terms and conditions state: that if they don't hear from you then any accommodation or pitches not claimed by 8am the day after holiday was due to start will be given away.

I am hoping that the email will count as me claiming the pitch and informing them.
The only other thing we can do is try get there for 8am...but that would mean leaving at 3am!!!

I can't call them before 8am as the phone lines don't open until 8:30.

I am ready to cry that I've ruined everyone's holiday.

The exact wording in t&c is:

Check-in times are subject to change. We ask that you vacate your Accommodation or Glamping Pod by 10.00am or Touring Pitch, Camping Pod by 12noon on your day of departure. You are welcome to arrive before your allocated check-in time and enjoy the park facilities until your accommodation or pitch is ready. If you expect to arrive after 6.00pm, please contact us to arrange key collection. For non-arrivals, unless the Holidays Team is previously notified, when the accommodation or a pitch is unclaimed by 8.00am on the day following your holiday start date, this will be treated as a cancelled booking and the accommodation or pitch may be re-let.

I think you will be OK with that timeframe. Stand your ground, with having sent the email. Just get onto them first thing. Good luck x

Psychicpineapple · 27/07/2025 20:35

Do they have Facebook, Instagram or Messenger? Maybe you could send a message that way.

Thank you, I really hope so. My brain just seems to be all muddled lately (perimenopause maybe?)

How far do you need to travel? Could it be an option to turn up very first thing on site?

Psychicpineapple · 27/07/2025 20:37

Also, maybe you should travel tonight to get there before 8. Avoid traffic and have the full day there when you have already missed part of a day today.

Dangermoo · 27/07/2025 20:37

I would make sure you all arrive as early as you can, in the morning as well, even if you speak to them on the phone.

The actual site doesn't have any of those, just the main umbrella company, but they don't seem to update very regularly.
I may message them as well just in case....cover all bases

So you HAVE notified them, via email, before 8am tomorrow. I would read that as being within the Terms and Conditions and would be raging if they gave it away without having read their emails first.

It's going to be fine. Just chill out when you're checked in and relax.

I’d just go now to be honest, get there early hours and get some sleep before the morning.

Did you even bother to read the OP before making a comment?

Tillow4ever · 27/07/2025 20:39

Is there a hotel nearby that you could travel now to and stay there so you can get a few hours kip, then arrive by 8am?

if not, I’d definitely look at an early night and leaving stupidly early to get there by 8am!

JoshLymanSwagger · 27/07/2025 20:41

Have you checked on their website to see if there's any vacancies on the site you booked, starting from tomorrow?

Gemmawemma9 · 27/07/2025 20:42

You’ve emailed so hopefully it’ll be fine good luck!

NotPerfectlyAdverage · 27/07/2025 20:44

They MAY give your pitch away. May - not will. Unless someone turns up at 8sm on the off-chance of a cancellation you will be OK. Try not to panic. You will laughing about it tomorrow. Honestly I'm sure it will be OK.

UsingAMansNameInAWomensWorld · 27/07/2025 20:44

You've emailed before 8am tomorrow so you have notified them

AbzMoz · 27/07/2025 20:44

I think your email should be enough. If you’re still fretting can you try googling / searching for ‘out of hours’ and ‘emergency site’ contact numbers for the specific site?

like PP I’d be tempted to hit the road at 4am tomorrow to get there between 8-9am, and also maximise the rest of the trip.

Retiredearly61 · 27/07/2025 20:45

Can you find an emergency out of hours contact number and ring that, you’d imagine that there would need to be one in case of a serious malfunction in one of the caravans

Isitreallysohard · 27/07/2025 20:45

You've emailed them, it should be fine. Don't worry!

I have done that and there are no vacancies...even for part of the week.

I don't think the pitch is unclaimed as you've emailed them

bugger.

I think you should be ok. You have emailed, and before their deadline.

How much of a PITA is it to just pack n go - obvs with no sleep, driving all that way, it's not a great idea...

eternalopt · 27/07/2025 20:52

Easier said than done, but try not to worry. It’s not unclaimed by 8am - you’ve contacted them before that. That being said, if you wanted to try and put your mind at rest so you can get some sleep, I’d be surprised if there was no member of staff on site at all - is there a Facebook page that you could post on to see if anyone already staying there can find a member of staff or an out of hours number ?
