Can I ask to see a copy of all teams messages sent by a particular colleague relating to myself within the last year?

Yes I believe you can. Information may be redacted that relates to other people.

GrandesRandonnees · 01/07/2024 19:52

It does for us, although our Teams chats are automatically deleted after 30 days. I don’t know if it’s saved somewhere for a longer period though.

I frequently have to remind staff to be careful what they write on Teams, as it’s all FOI- or SAR-able (I work in government).

My Teams messages are deleted after 30 days ‘in line with company policy’
I don’t know if the company can retrieve them

Excellent! Thank you everyone. Yes I'm considering legal action (long story) and thought it might be an idea to get any teams messages now.

Our teams messages are also deleted after 30 days as per company policy we also delete all emails over a month old none of them can be retrieved after this

Andwegoroundagain · 01/07/2024 19:58

Default for Teams messages is that they are auto deleted so request it quick

We have a strict email storage- it's years rather than days.

I’ve not had to do a SAR for a colleague, but when a client requested one we each had to go through our messages and search for any mention of the client’s name. So you might want to check with your manager or HR as to the process and whether your colleague will be informed that someone has requested a SAR (or IT will access their Teams etc).

Thank you. Yes good advice

IT may be able to access deleted items too.

Apfelkuchen · 01/07/2024 20:34

Yes, it includes Teams messages and all other systems and written notes. Ask for anything relating to your name or initials.

Good shout with the initials.

Good shout with the initials.

It's highly unlikely they will accommodate that request. Because there's a strong g risk that they'd give you data relating to someone else with the initials MB. So they would only do on name

DinnaeFashYersel · 02/07/2024 08:38

Yes it covers everything.

magnoliablooms · 04/07/2024 08:34

I have very unique initials and no one else in the organisation shares them

Doesn't matter, your initials won't be personal identifiable data and subject to GDPR. I mean by all means ask but I work in this space and I'd refuse the request because the risk of giving you information that related to someone else would be high

Hello magnoliablooms, did you get anywhere with your subject access request for teams messages? I am considering doing the same and could do with some advice/ help.

OSTMusTisNT · 24/07/2025 12:56

Put an extra bit along the line "In the event that messages are deleted routinely I request that this information be sourced from IT backups or archives as appropriate".
