Part time Payroll Assistant - Sevenoaks

A new opportunity has just come in to join the personnel department of a large independent school to run the payroll. The Role

Our client is a large independent school with around 450 staff. The main purpose of this role is to run the very busy school payroll, paying staff their wages on a monthly basis and ensuring salaries are correctly posted into the school’s accounting systems. You will be a member of the school’s Personnel team.

Key responsibilities will include:

Payroll Processes

Maintaining and updating employee records on the payroll system.
Processing monthly payrolls including starters, leavers and manual calculations for SMP, SPP, SSP etc. Also maintenance of maternity & paternity leave records for all employees.
Calculating and processing of employee’s pay claims, timesheets and invoices.
Maintaining school payroll management records, preparing the monthly authorisation document and keeping up to date with an essential bring forward system.
Calculating and processing visiting music teachers’ pay and reconciling against termly pupil disbursements.
Processing and maintaining a register of approved private tuition, to ensure relevant reports of tuition are paid and to raise the relevant pupil charges associated with payments.
Maintaining a register of Childcare Voucher and Cycle to Work requests and payments.
Administrating paperwork relating to the school’s pension schemes.
Ensuring compliance with relevant legislation and regulations including Pension Auto- Enrolment and RTI.
Assisting with year-end processes, including preparation of annual pension returns and P11Ds.
Liaising with staff and management on payroll related queries and assisting where possible.
Ensuring sickness and holiday absence are paid according to the relevant policies.
Assisting with updating and maintenance of current HRIS data (Excel)
Payroll Accounting
Assisting with month end reconciliations of payroll related Nominal Ledger accounts.
Preparing and importing financial data from the payroll system to the school nominal accounts.
Administering payroll deductions to third parties including HMRC, Pension schemes, AVC providers, Child Care providers, Attachment of Earnings Orders etc.
To raise necessary monthly invoices and transfer documents for rechargeable salary costs.
Personnel Processes
To take responsibility for the gathering and inputting of all sickness data into the HR database and then filing sickness forms in the personnel files.
To support the Personnel team where appropriate with a range of administration duties in line with the role holder’s skills and abilities e.g. updating of templates, collation and copying of documentation, filing and archiving of files etc.
General
To perform any other tasks as reasonably required by the Director of Personnel.
The Candidate

The Payroll Assistant should possess the following attributes:

Experience in end-to-end payroll processing and software operations, with strong IT skills.
Excellent communication and interpersonal skills, with customer service focus.
Experience in finance operations including accounting and reconciliations.
Very high standards of accuracy and attention to detail, with strong numerical ability and data entry skills.
Good understanding of Microsoft Office packages, particularly proficiency in Excel with the ability to confidently manipulate data.
Ability to work to deadlines.
Full understanding of employee confidentiality and data protection with the appropriate handling of sensitive information.
Salary and Benefits

This is a part-time role for 30 hours per week, which ideally would be worked on a Monday to Friday basis. However there is some flexibility in this for the ideal candidate. The role will initially be offered on a 2 year fixed term contract after which it will be reviewed and could possibly be extended.

The salary will be dependent upon the skills and experiences of the successful applicant, but it is envisaged that it is likely to be pro-rata of the full-time equivalent salary of c£21,500 per annum. Other generous benefits are also on offer, including pro rata of 28 days holiday entitlement to be taken during school holidays.
