Hello

I have a question about invoices. If someone pays you every week but they only use you for one day, when do you give them an invoice? Or don't you bother?

I had a baby start last Tuesday. Her mum makes the payment every Friday via online banking in order for the payment to arrive in my account on the Tuesday. I'm therefore being paid the day I have the mindee, each week. I obviously provide receipts but what about an invoice?

Also, does anyone have a nice professional looking invoice they would be willing to share with me? I'm not happy with mine at the moment.

I dont even do invoices and receipts - eek! I should really shouldnt I

I find it hard because I have four sets of parents and all pay me differently.

one in cash at end of month
one in cheque at beginning of month
one in cheque in middle of month and one is paying me at the end of a set time scale for all childminding for that period (16 weeks)

I use numbered duplicate pads from WHS/stationers (one pad for each family), and just write out the day/week, hours and amount to pay. Top copy given to parent, bottom copy remains in book. When paid, I write "paid" on my copy, and "paid" on their copy if they give it to me. Probably not as professional as something I could have!

I do have one child one day per week, and I write out a bill just for that day.

I don't have separate invoices or receipts.

I have six sets of parents, 2 four days per week, 2 one day per week and 2 one half day per week! They were all paying differently.

I have now asked all parents to pay on their first contracted day of the month, four weeks in advance - this is proving much easier for me to bank once per month. I do not issue an invoice but do issue a receipt, keeping one copy for myself and one for parents. I also use this receipt as my only record of my earnings so very important for me!

I just use a duplicate invoice book and duplicate receipt book that you can buy from any stationers, and I give everybody an invoice and then a receipt when they pay me whether they pay me weekly or monthly (I have 1 who pays weekly and the other 7 who pay monthly).

I have one mindee who comes 3 days per week (this is the one who pays me weekly) but the days vary. On our contract is states that payment day is every friday, but if mindee not coming friday(say comes mon, tues, wed)then I would give the mum the invoice on the weds but put 'payment due by friday xxth of feb' for example, that way they have got the invoice but don't have to pay me until friday (sometimes she pays on the weds, sometimes puts it through letterbox on friday). I hope you understand what I mean.

i use excel at the moment but a friend is putting me on some very jazzy system that will print invoices/receipts and do accounts for me....don't ask me what its called. but there is one called quick books which is quite good. i can send you a copy of my excel one if you want,
