Can somebody please help me to phrase this

Hi. I work in a sort of Hub, within a secondary school. We work with some challenging young people who are adept at avoidance! As such, they will come to us for a drink of water during the school day. However this is proving disruptive to the pupils who are scheduled to be with us at any one time. Also, we want to teach them responsibility; carrying a water bottle, getting a drink during break and lunch, etc. Basically, we need to clamp down a bit.
I thought it would be useful for them (and us!) to have a visual reminder on the door. Something along the lines of 'please respect other Hub users by asking for water and phone-charging during your timetabled Hub session only'. This is a bit long-winded, however.
Our approach is generally positive and nurturing, so it can't come across as too rude or abrupt! Grin

Ideas on a postcard well, a door sign please Smile

Is there any sort of drop in area in school they can use when they need to?

we know for my son “needing a drink” is actually a sign he actually needs a break so I think you need to somehow find a balance so all needs are met.

Oh, absolutely. They could visit the water fountain in the school building. I think there may actually be more than one.

They don’t want water or a phone charger. They need a break and de stress. Can you campaign for a room to use as such separate to the work going on in the hub so they don’t disturb each other?

Yes, it will be explained to them and our expectations made clear.
I am extremely fond of them all and will miss them dropping in Grin
We do need to phase it out though - over time and with advance warning - as it's becoming ridiculous.

There's lots in place for them. It was just advice on the sign I needed Smile
To be clear, this will be a reminder of something that will have already been explained.

Visiting a water fountain won’t necessarily do give them what they need though. Like I said it’s often not about the water.

while making sure those with timetabled sessions aren’t interrupted there also needs to be a way that those who need to check in with someone or just have 10 mins away from things can go.

Those sound like two mutually exclusive elements.

It’s not fair for those in the session to be interrupted.

Just feel the need for a short break? Come on in! We might be busy with a scheduled Hub user but take a quiet seat!
