To be annoyed with our letting agency

Apologies in advance if this ends up a bit long, but I don't want to drip feed. Also apologies if this is a bit ranty but I'm getting pretty fed up Angry

I graduated from uni in June and moved out of the flat I was sharing with 3 others in mid-July and am now living with my parents for the time being. Myself and my three flatmates moved into this flat at the start of August last year and the tenancy ended on the 25th of July. I handed in my keys and leaving form to the office, in person, 11 days prior to this. The remaining two flatmates moved out the day before the tenancy ended, and I reminded them in advance they needed to let our fucking useless property manager know what date they were moving out and to make sure they handed in their keys/forms/etc. Our third flatmate was an Erasmus student, she went home for Christmas but was unable to return due to ill health (but still paid her share of the rent because we didn't find a new tenant).

On the 15th of August (exactly 3 weeks after moving out) I hadn't heard anything re getting deposit back so I logged onto the Letting Protection Service Scotland website and filled in the necessary details and requested our deposit back. Fast forward to today and I still hadn't heard anything so I phoned up my property manager and as usual she said it wasn't anything to do with her - two of my flatmates hadn't handed in their leaving forms apparently and we need to send her our council tax exemption form (not that I recall ever receiving anything about that Hmm ).

OK, I know our flat is obviously not the only property she manages, but could she not take 2 minutes to send us a quick email asking us to hand things in if she needs them? I'm sick of always having to chase her/the letting agency in general for things, here are some other examples:

-We didn't have a hoover for the first 10 weeks, despite it being on the inventory, so we chased it up, we were told to either buy one ourselves or tell them what days/times someone would be in so they could deliver one so we gave them dates/times, only for someone from the agency to let themselves in with the spare key and dump it in our hallway!! Shock

-It took them 12 WEEKS for us to get an inventory. OK, it turns out that was mostly due to a problem with the agency they outsource the inventories to, but I had to remind our property manager twice to chase them up for it and then she didn't even bother reading it when she asked for a copy with out comments so missed some issues

-They took MONTHS to get our boiler fixed, it finally got replaced 8 weeks before we moved out....

-The head of the agency asked us to remove our 1-star reviews from their Facebook page otherwise they would cancel their agreement with the landlord (this was right in the middle of the boiler-fixing saga, so they basically knew a load of students wouldn't have much luck with a stubborn landlord), so they clearly care more about their image than the satisfaction of tenants renting through them Hmm

Hopefully you get the idea, communication from their side is really rubbish so I shouldn't really be surprised, but I'm just so annoyed right now Sad What if the council take ages to process our council tax exemption or something?!

TL;DR letting agency haven't let us know we're missing forms needed in order to get our deposit back, I'm fed up of chasing them up for every little issue, who is BU here?

But u knew to hand ur leaving form in - so assuming the other two did as well, they didn't, so its on them ur deposit has been delayed - NBU if you were mad at ur old house mates, but yes YRBU to be mad at a agency who has explained what was needed - they had no reason to chase you.
Your other points on the agency are bad but I'm just going with the main point here.

Your council tax exemption has nothing to do with your LL
a (or LL). Can you not escalate your deposit claim with the DPS?

Hmm, I was told we need to give them a copy of our council tax exemption before we can get the deposit back why didn't they mention this sooner Hmm It was a flat specifically for students so I assumed the reason I hadn't heard anything from the council was because they somehow knew this Blush
