PTA Help - Disco Tickets

Hello,

I'm treasurer for PTA, new since covid so haven't done any events yet. Trying to figure out best way to sell school disco tickets, ideally an online ticket option? Any suggestions/help would be most appreciated!

When I booked on for a school tour not too long ago the school used Eventbrite. I don't know if it costs but it might be worth looking into?

Bank transfer with surname and year group as a reference? If the PTA has its own account. SmithThree.

And then I'd have someone selling them in person before and after school for cash.

Does the scoop have an online payment system they’ll let you use, then transfer the money to the PTFA bank account eg;Patentpay?

Our school do it via ParentPay so it’s cashless. They get a drink & small sweet packet included.

EventBrite is probably simplest - you do lose a small % but it is worth it for the less admin.
Unless as someone else said school will give you a ParentPay line and then pass you the money.
We used to charge more at the door than in advance to encourage people to be organised.

You will need a list of names & contact phone numbers too, unless parents are staying to supervise or there is a member of SLT present who can access school contacts info in case of emergency.

(Veteran of organising more primary discos than I care to remember).

Thanks! School have parentpay, not sure if they will let us do it that way, apparently previous discos parents stayed(and bought booze to drink) but new head prefers drop off which is what I am used to at old school.

I saw event bright but they charge parents which I think won't be appreciated. Am in school this morning for a trip so going to try and ask the office lady who I think will know but she can be a bit...unhelpful.

Wanted to go in armed with ideas! Teachers are doing the staffing/supervising and we are just booking DJ and running a tuck shop.

I wouldn't add another system to parents lives tbh.

Just ask for payment on the door. Saves lots of admin all round.

Ours uses SquareUp. No idea how easy/hard it is to set up but the parent experience using it is super simple, no extra charges.

The problem with paying at the door other than cash control and floats etc is that you don't know the numbers attending. It is far better to have prepayment. Are there any other events at which tickets could be presold should parents not wish to pay online?

Prepayment may actually raise more money as some people inevitably don't attend in the end (positive Covid tests currently, for example), and I expect given the current climate probably more people back out at the last minute.

Use parent pay. Then you know if you have enough raised to cover the DJ etc.

Are numbers limited? If so, you cannot risk doing pay at the door - as you might get loads of children turning up, and it would be awful to have to turn some away. Which you would have to do because for insurance and for fire-regulations numbers are usually capped at "so many moving bodies". And you'd have to be very strict at counting how many entered the building, which might be tricky if they arrive in packs.

So, I'd definitely recommend some sort of pre-booking system. You could still have them pay on the door, but their name must be on a list for example.
