Help please! How do you store important digital information?

I have always kept paper records of important documents but this is becoming less practical and relevant as most documents are now sent or requested digitally.
I only have access to an iPhone and find it very difficult to store and retrieve documents on it. I can never find them! Can anyone advise me of a good system for keeping records of CVs, P60s, tax, wills, power of attorney, savings …

Save them in the "files" application, provided you have iCloud enabled they will be backup to the cloud and can be accessed at iCloud.com on any browser.

It would also be advisable to have "2FA" enabled and ensure your recovery and legacy contacts have been set up.

I have them as photos. I have an album titled ‘Important docs’ then when I take a picture, I use the info button to add a short description of the document, and adjust the date and time to reflect the date of the letter/document if that’s important. By doing that it becomes searchable. So I can go to the important docs album and search ‘weight tracker’ like in the example image (might take a few minutes to show while MN are approving it) and it will bring up relevant documents.

for pdfs/word files, I have an iCloud folder and save them all in sub-folders by topic ‘financial, travel, identification etc’.

The problem with above is that no-one else can get access which is pretty bad where Wills are concerned 😬

Maybe get a cheap wifi-enabled printer/scanner and print off the paperwork you need. I usually print off the main page of my car insurance (can't think of it's proper name), etc.

I have different WhatsApp chats titled Important Work Docs etc.

If the title of each chat starts with a word like Important they are easy to find

I use this app , it is free to install and use.
You can scan and save all documents in to different files .
It's very easy to store documents you receive/ download on it to.
It also automatically creates pdfs if you need to email them to anyone.

My db can unlock my phone and knows where to look for docs should he need to .

If you decide to use the files application, you can create your own folders to keep things organised with multiple levels.

You can also share specific folder or documents with another (apple) user so they can always access the contents.

I have share a folder with my wife for anything she needs access to, e.g. insurance, manuals for appliances, holiday plans etc.
