Birthday party RSVP and school holidays

My eldest is turning 6 just after the Easter holidays. Party is the weekend after. Venue needs final numbers a week before, so I set the RSVP date on the invites for 10 days before the party. Problem is this lands smack bang in the middle of the school holidays. People are going to forget aren’t they? 🙈 I was going to send the invites in a couple of weeks (about 5 weeks before the party) but should I send them earlier? 🤔

5 weeks before is fine otherwise people won’t know their plans. Just send a msg 2 days before to remind people of the details.

Just send the invites early, 5 weeks is fine, and ask everyone to RSVP before the Easter hols so you can get everything wrapped up. Hopefully most will be prompt about it! Personally I always reply as soon as I get a party invite as I know I’d forget otherwise.

Change the RSVP date to a couple of days before they break up, so you can chase them up on the last day.

Do you have a class WhatsApp group? I’d ask on there now then double check with everyone when you’re giving final numbers to the venue.

Ime people forget if it’s the holidays so I’d do it end of term instead.

The RSVP date is printed on the invites already so I can’t really change it 🙈 Should have thought about this before doing the invites, but to be fair if I ask people to reply before the school holidays that’s nearly a month before the party, isn’t that a bit too early? 😬

We do have a class WhatsApp group but not all the parents are there as she’s inviting a few kids from different classes that she knows through school clubs etc. I’m hoping most will reply fairly soon after getting the invite before they have a chance to forget 🙈 and then I’ll have their contact to get in touch a few days before as a reminder 😂

I appreciate this is no use for you for now but this year I received a paperless invite to a party and it was revolutionary!!! You had to say how many were coming, if they had dietary requirements etc and the parents get an email when updated. The website also showed them who hadn't replied and it was easy to send reminders. Basically did everything for you. This year we got so many 'thanks for the invite" with no rsvp, or when I chased to find out how many from the family I got "we're not sure yet". Took hours of admin. Definitely using an online invite system for all future parties. Means you can tweak rsvp dates too!!!
