Test drive - copy of driving licence

I've just test driven a car. Before doing so, I was required to provide my driving licence and NI number and sign a waiver. They took a photocopy of my driving licence.

When I returned from the test drive I asked how long they would keep the copy of my driving licence on file. They said 7 years. I understand why they needed to see evidence that I have a valid driving licence but keeping it on file for 7 years seems excessive.

Is this in case I had an accident that later needs to be investigated or is this just a random period of time they've decided on?

I have googled this in relation to GDPR but couldn't find an answer.

We hire vehicles at work.

If they took your NI number they probably will have completed a DVLA check code - we keep the print out of the check code for 1 year as that’s what our insurance company have asked for - other than your name, the vehicles you’re entitled to drive and if you have any points, no other personal information is shown.
