How long does does it typically take to move from an oral offer to an official contract (UK lecturer position)?

Hello,

I received an oral offer for a Lecturer position in Life Sciences (UK) last December and have shared with the head of the department with an estimated budget to establish my lab. They mentioned that they would review it and get back to me, but I haven't heard from them since mid-February. To provide a bit more background, the department is currently recruiting multiple faculty members, and my proposed starting date is in early 2026 due to personal circumstances (From what I understood, other people will start in autumn this year).

As I’m unfamiliar with the UK faculty recruitment process, I was wondering how long it typically takes to move from an oral offer to an official contract. When it would be appropriate to send a follow-up email regarding the contract status? Any advice would be greatly appreciated!

I've just recruited for several new team members and HR have been getting contracts out pretty quickly - usually in 1-2 weeks

At my institution, we have a lot of issues with HR. Absolutely fine to send a polite email asking when you can expect to receive the contract. Your recruiting manager may well appreciate the heads-up that this hasn't been sent out.

Agreeing the contract for your salary should be pretty straightforward. But if you need a big budget to start your lab, that is a lot more complicated. Many uk labs don't get startup money like in the USA and any startup needs to be negotiated separately. I started my lab with nothing.

Have you had feedback from the HoD on your startup negotiations?

A week or two here, unless there’s complexity like negotiating a start up dowry, cross department appointment, or bringing a whole team with them. But even then, much quicker than your experience

@parietal I indeed need a "big" budget to start my lab and have provided an estimate to the HoD but haven't heard anything back. He did mention that he needed to discuss with the Dean.

It will be the lab startup which is taking time. A few years ago I got two postdocs, some equipment and £150k slush fund to start mine and it was the equipment which took ages, bizarrely. If you’ve had an offer don’t worry. I would prompt again in a week or so but if there are multiple people starting they are probably a bit chaotic

Thank you so much for sharing your experience! @bge It's relieving to know that the lab startup can take a long time. The process is so slow that I started to think that they may rescind the offer for some reason...😅Btw, your startup package sounds amazing!

@bge Can I ask one more question: did the department keep you updated regularly when they sorted out the equipment you needed, or did you have to follow up actively for progress? Many thanks. My department/HoD doesn't actively update me and I have been waiting because I didn't want to be annoying...

I chased after a while, they didn’t update really. If they have to ask the Dean there will be negotiations about maintenance contracts for equipment, long term liabilities, that sort of thing

but, if you are anxious, jsut email for an update. They won’t mind (but there might not be much they can tell you)
