Quick compter help - download from SharePoint?

Does anyone know how to download from SharePoint but from within a word document itself?

A colleague from a different organisation has shared a document with me. I can't access their SharePoint folder/area because they're in a different organisation. Clicking the link that they sent me sends me straight into the document.

But I need to download the document to work on.

Any ideas of how to do this? If I can at all?

Any help HUGELY appreciated -I've googled but all the instructions are for downloading from the main SharePoint folder, not from within a document itself.

This is amazing detective work but when I click the three dots.... no option to download. Only this:

"Open" and "Open Location" both just take me into the web-based file.

Infuriating. I’d start editing online (before you get too far in make sure it is saving ok) and I’d try and contact her to get her to resend. I know she’s on ML and doesn’t have to answer / may not see it, but worth a go.

Failing that you’ll have to do as you suggested. Infuriating.

Sorry, I've no idea in that case.

I wonder if her org have a setting to prevent download, might make sense internally if they need everyone to work on SP, but no help at all if they're collaborating externally!

No, she's absolutely ruthless and not doing anything work-related on her non-KIT days. So she wouldn't pick up the email.

Deeply infuriating.

Does the person you need to send it on to need it in a word format? Could you work on it online and then print it as a PDF to send by email?

Files can be set up in sharepoint to not allow downloading or saving offline. If you don't have the option to "open in desktop" or file -> save as it sounds like it is set this way.
You may be able to put a request in to your IT (if you have one!) to change the permissions if you cannot get hold of the owner of the document.

open it in the desktop app - there's an option for it at the bottom of the menu when you click on editing/review etc (in the top right). After you've done this, you can use the file menu and save as, download a copy - as others have included a screen shot of.

She’s tried that, the option isn’t there (see up thread)

Not read all comments but have you selected open in app? Should be at the top right of the screen, this should open it in word and you can then save etc?

Yeah, I think that's exactly what's happened. Unfortunately, I don't have time to wait for IT to help. They're a bloody nightmare and we're on a tight turnaround for this!

Yes, the person I'm sending it onto will need it in Word.

I think you might need to contact the manager of the person who has sent it to you. Is there anything on her out of office about who to contact for something urgent? There's nothing your IT dept can do, as it's not on your sharepoint, it would be the sender's IT that need to get involved.

Twentyfoursevenn · 25/04/2024 13:11

If you dont have download permissions then it looks like a job for copy / paste to a new doc, and manually add in whatever gets missed

I used to be a sharepoint site admin, and I can categorically state that it is a fucking stain on humanity that should be fired into the sun, and anyone who says otherwise just works for Microsoft
