How to word a food bank donation collection request?

Just as the title says really.

We, as a company, have done many charitable things over the years and this year I would like to invite people to donate to a collection for our local Food Bank.

I'm mindful that I am unaware of everypone's situation so would like advice on how best to word the "invitation" so it isn't guilt trippy, or demanding.

Any suggestions?

Could you say "We have opened our Christmas food bank collection, for those who wish to participate, please leave the items [with whoever/ where abouts at the office].

Sorry, half a post there...if the emphasis is on participation it makes it seem less of a guilty shake down for money ...I don't know, I'm waffling, don't listen to me Grin

Agree with above. Factual rather than emotional. Just make sure the collection box is somewhere where people can donate what and if they can, that way nobody feels any pressure to do so.

You've pretty much answered this already - tell people you are setting up a collection and that their contributions would be welcomed. Nothing pressurising about that.

You could also say that there's a particular need for soap, sanitary products, toothpaste, etc (as this stuff is always lacking). People with less to give, but the desire to give, may have an unused replacement toothbrush or unopened bottle of shampoo they can donate.

I've drafted this,... Please feel free to edit if needed:

Dear all,

We as a company have done many charitable things over the year, Children in Need and MacMillan Coffee Weeks to name a few. I am intending on making a donation to X before Christmas and am inviting anyone who would like to contribute to let me know.

For those who are not aware of the X, it is a charity based in X. They aim to improve the quality of life of individuals experiencing extremely disadvantaged situations in our local community by providing practical support.

They are currently appealing for the following items:

Toothpaste, Cup a Soups, Sandwich paste, Dried pasta/noodle meals, Long Milk, toiletries and tinned meat (such as tinned steak) and tinned fish (such as tuna chunks).

If you would like to contribute to the donation box, please see the attached list of items they can accept, that they can’t accept and also things that they put in both crisis and Christmas packs.

I will leave a box underneath the spare desks upstairs for people to put in any contributions they wish to make.

Many thanks

People with less to give, but the desire to give, may have an unused replacement toothbrush or unopened bottle of shampoo they can donate. Precisely what I, myself, have done in the past.

That's perfect.
