Help - Does anyone work at the Passport Office at Durham

janeb204 · 23/07/2012 22:30

Im at my wits end...I need to speak to Durham Passport office, I am going on holiday Saturday and my daughters passport renewal is stuck in a backlog at Durham. I will pay for accelerated service but can't get through to ask for it. The general phone number takes hours to be answered, the call back service doesn't work, the 48hr email reply service doesn't reply. Can I drive to Durham and sit and wait. I'm frantic to resolve this...but what can I do? Has anyone got any suggestions of what I can do....apart from cry? Does anyone work there and can tell me something I can DO

I am due to go on holiday on 25th July 2014 and my passport is currently at Liverpool. I am extremely unhappy with the service I have received from the Passport Office for the following reasons:

• My boyfriend Ian and I both posted our passports for renewal on 30th May 2014 in the same envelope. Ian received his new passport on 2nd July 2014. Therefore the envelope containing both of our passports must have been opened several days before this, i.e. Passport Office staff knew there was an error on my application (that my signature extended outside of the box). However, I was not informed of this until 7th July in a letter signed by M Flatley.

• Then I rang the 0300 222 0000 number on 7th July and was told the only way I would be able to receive my application in time for my holiday was to write back to M Flatley and say I wanted to cancel my application, after which I would be able to book a one day appointment. I therefore wrote a letter saying exactly this. I also signed the new declaration form and wrote in my letter if there was any way that my passport could be fast-tracked then please could this be done. I received a call on 8th July at 8:43pm. The caller (he did not give a name – possibly M Flatley) said he had received my letter and new declaration form and in light of my situation would fast-track the application and I would have my new passport within 5 days, i.e. on or before 13th July. He also said he would call me the next day to confirm that my application had been processed. However, I did not receive this call. I sent an email to [email protected] on 10th July to enquire what was happening with my application, however, I have not received a reply to this.

• My boyfriend and I have both taken time off work to wait in for the new passport and also asked family members to wait at our house if we both had to be out. No passport has arrived.

• On 13th July I called the 0300 222 0000 number again. The lady I spoke to was professional and reassuring and said she would notify the Liverpool office to contact me as soon as possible.

• This morning, 14th July I called the 0845 601 5107 number given on the bottom of the letter I received. I was on hold for 2 hours 20 minutes which I estimate will cost around £35. I was told that there is nothing on the system to say my passport was fast-tracked last week and therefore my passport is still in the normal processing queue. The man was very unhelpful and said there was nothing he could do except ask the Liverpool office to contact me which could take until the end of this week. I expressed significant concern that I am due to go on holiday on 25th July on a 7am flight.

I do not seem to be able to get any answers from anywhere. No one is responding to my calls or emails. I am therefore writing this letter of complaint as I am exceptionally unhappy with the poor communication and untruths told by staff at the Passport Office.

I have contacted my local MP about this and await his response.

Thank you so much for that talbot649, I called the number ending in 22 and got through straight away. This is the office for dealing with overseas applications but they gave me this no: 0151 4716413 which enabled me to speak with the relevant person at Liverpool. I hope this is useful for other people.

I'm no reassurance I'm afraid but I do have some advice...

My story is far too long and drawn out to detail here. However, I can say that my baby's passport application has been with the passport office since June 6th. I have telephoned several times a day for at least the last 3 weeks....very stressed right now!

The latest is that even though I have had to PAY for Fast Track!!! (grrrrrrrrrrr) I still have no confidence that my son's passport will arrive by Thursday (24th July) - when we travel!

I have chased my tail on the phone this morning having been told on Friday to ring for a delivery number - apparently the Peterborough system is 'down'. I received my 3rd (in total) phonecall from the passport office on Saturday to say the passport had been printed and I will received it Monday or Tuesday....However, like I said already, the courier has no reference for me.

Telephoned the Peterborough office back, who told me to call the advice line (heaven forbid) who told me their system was down too but that my status is 'with examiner'...that better NOT be true!!!

So, I have to telephone back at 3pm to see if their system is working.

My advice...

DON'T BOTHER WITH THE 0300 222 0000 number AT ALL...they appear to know nothing and will only worry you!

DO GET IN TOUCH WITH YOUR MP - I have a fantastic lady helping me out who seems to be getting fobbed off too

DON'T BELIEVE ANYTHING YOU ARE TOLD - if I had done this I would have given up on contacting the passport office and almost certainly not got anywhere close to receiving the passport

LOG EVERYTHING - I will be sending a serious complaints letter after my holiday (if we ever get there)

I have never felt so upset and anguished! I am trying to get my family ready for a holiday we may never get on...

GOOD LUCK!!! It would be nice to hear that some people are receiving passports this week as I'm starting to worry that the system is so appalling that the officers may give up!

Kasmani75 · 21/07/2014 19:07

Hi,

My partner has been waiting for his passport since November last year and the staff at Durham office are just a waste of time, It's like they have all been trained to say the same thing.

We are at our wits end we have already lost a £4000 trip to Jamaica we had booked for xmas 2013.

We are calling every other day and get told the same thing the passport is undergoing standard ID checks and a manager will call us back withing 24 hours still as of yet not received a call from the office in Durham.

It has gone beyond a joke

Is it worth turning up to Durham really don't know what else to do?

We have even got our Local Mp onto it they have told him the same thing.

Advice Please

passportfail · 22/07/2014 12:30

Hello all!

I am having a nightmare with my passport too. If there is anyone in the LOOK NORTH region who is having difficulties, please tweet them now - @BBCLookNorth. I have managed to get their attention, and I think they may consider doing a story on the problems (which should help us all). If you are not on Twitter, you can email on look [dot] north [at] bbc [dot] co [dot] uk

passportfail · 22/07/2014 15:09

I cracked it! And I wrote this to help others who may be struggling

Passport trouble? A guide to preserve your sanity and travel plans

So you applied for your passport more than three weeks ago, and you need it urgently because you're going away very soon. But you can't get through to anyone to make this happen, and when you track your application online it just says 'Declaration form received, being processed'. Nothing is moving, and panic is setting in. What do you do? Here's my amateur guide to the Passport Office system, based on what I've learned over the past two frustrating weeks.

  1. You have to start by ringing the Passport Advice Line on 0300 222 0000. I'm afraid that it won't do any good, but it's a step you have to take. Think of it like a rite of passage into bureaucracy hell. It gets you through to a call centre that is completely removed from the main passport office, i.e. no-one you speak to actually has the ability to do much about your application. All they can do is to send an email to those who do have the power, asking them to call you back in 48 hours. Which the Passport Office is unlikely to do because they are completely snowed under. In other words, the poor call centre staff are just being paid to sit there while people yell at them in frustration. According to the Very Senior Manager I spoke to, not even the higher-ups have a phone number that will let them speak to anyone who can actually do anything to help.

Here's how the government is trying to manage things at present: the Passport Office are currently prioritising applications according to the travel date/time so that those travelling in the next few days are at the top of the queue. They will therefore ask you when you are due to travel. Don't lie to the call centre and say that you're travelling in the next week if you aren't - the Passport Office has the flight data available and they will cross-check. If there is a reason you need your passport quickly (in my case, I needed to apply for a visa) then make sure this is stated clearly on the email that is sent by the call centre to the passport office.

IMPORTANT: Do NOT call 0300 again before the 48 hours is up. If you do, your case will be sent right to the back of the queue. Counterintuitive I know, but there you go.
ALSO IMPORTANT: have your application reference number and your flight details (especially date and time) available before you call.
SNEAKY TRICK: several of my canny Facebook friends pointed out that you can buy extremely cheap one-way tickets on the cross-channel ferry (£15 single). Since applications are prioritised by travel date, buying one of these tickets and telling the passport office that you're travelling in the next day or two could well bump you up the queue. I haven't tried this (please don't blame me if it doesn't work!) but it sounds like it would be effective.
AND ANOTHER THING: It is completely pointless to bitch at the call centre staff. There is literally nothing they can do. Just go through the process and move on.

  1. If you are extremely lucky, you will get a callback from the passport office within 48 hours of ringing the call centre. Chances are, however, that nothing will happen. DON'T make the same mistake I did - repeating step 1 another four times in an increasingly frustrated way - because all that will happen is that you'll go round in circles for 10 days. At this point, you need to escalate the case. You do this in two ways: 1. Call the 0300 number and ask for the case to be escalated, giving your reasons. 2. Email a complaint to the Parliamentary and Diplomatic Enquiries Team ([email protected]) saying that the case is urgent, you were promised a callback and it hasn't materialised. Wait another 48 hours. In my experience, absolutely nothing will happen- but again that's not the point. This is just another step you have to go through to get to the point where you can take effective action.
  1. Like I said before, if you are lucky, someone will call you. If you are really lucky, someone from the Enquiries Team will actually respond to your complaint. Chances are, however, that neither of these things will happen. It's now time to bring in the big guns - vroom VROOOM! - which means getting your MP involved. (Don't know who your MP is? Find out here: findyourmp.parliament.uk/). Here's the important bit: to get their attention, it really helps if you can tell them that you've already exhausted the other options, i.e. you have used the 0300 number, and to have complained to that hpenquiries email address above.

When you send your email, don't forget to mention: when you applied for the passport, how you applied (Post Office? Online?), when you sent your declaration form if you applied online, how many weeks you've now been waiting, when you are due to travel, and any other issues (in my case, the fact that the way that they were prioritising cases wouldn't work because I needed extra time to apply for a visa). Give your name, date of birth, address, email, application number, and phone number (obvious, I know, but easy to forget).

  1. MPs are generally pretty good at getting through correspondence, and they have access to a special hotline number that they can call to escalate your case behind the scenes. (If you don't hear from them in 48 hours, try ringing their office). As soon as they get on your case, things will start to move. I pretty much guarantee that in just a few hours, you will get that elusive callback from the passport office. In my case, the application was fast-tracked for free, and sent it for next-day delivery. This happened within 5 hours of contacting my MP.
  1. If that fails, take to Twitter. Have a look at whether any media outlets in your area are appealing for cases like yours. If not, use the hashtag #passportfail and tweet your local media drawing their attention to the problem. Suggest that passport chaos (miserable families, crying children) makes a good story for the school holidays. Make sure you CC in @UKhomeoffice and @GOVUK.

Some people have been reporting that they've had success ringing the Passport Offices directly to chase things up (there are numbers online if you have a hard look). However, many also say that they have been kept on hold for well over an hour. It may be quicker and more effective to follow the steps I've outlined above. Good luck!

I really feel for everyone going through the hell that is the passport office. My situation is a little different, I applied online and sent my declaration and supporting documentation special delivery on 2nd July, Liverpool passport office received and signed for it on 3rd July BUT according to them they don't have it. I still have a chance to sort this out as I don't travel till September 12th but reading these horror stories gives me serious doubt that I'll get to Turkey. Thanks to all those that have given advice as at least I'm aware of who to contact. I'm awaiting a call back that will probably never come but I don't hold out much hope. I sent my passport in maiden name off along with my marriage certificate which are the lost documents. Anyone had similar experience with lost documents before application even processed?

indie123 · 28/07/2014 21:46

Wow...This is still going on!

I myself had hell with the passport office office back in may/june.

Sent daughters renewal off 1st May. .was received 5th may...sent into examination 5th may.

Weeks passed and nothing..called the advice line who kept saying 'should be looked at next week..just keep waiting, wont be long'. Called durham direct on 3rd June and was told a letter had been sent to countersigner on 2nd June. Long story short, countersigner got letter and sent back and reply was received back at Durham on 9th June. I requested a fast track which was granted the same day and passport was immediately sent to print (wasn't charged as we were now in week 6!). Received passport 10th June. Travelled 22nd June and we're still on holiday. Advice line are useless and have very limited info. Call passport office direct for accurate info!!! If you live within reasonable distance to the passport office dealing with your passport you could also try your luck turning up...has worked for some people in the past

Feenie · 28/07/2014 22:41

passportfail thank you so much. With 10 days to fly at teatime on Friday I did everything on your list - within 20 mins my mp's office emailed to say they had spoken to the passport office and it was being printed there and then. Within an hour the passport office rang to say it would be with me in 5 days, them had an email Saturday morning from hpenquiries to say it was being couriered and I had it by 10 am this morning.

Cannot thank you enough Thanks

Anyone now how long the renewals at Liverpool are taking at the moment?

My online renewal was received on the 16th July and we travel on the 26th August which is just less than 6 weeks. Will I be able to fast track even though I applied online?

Thanks

Feenie · 29/07/2014 16:54

My ds's at Liverpool has just taken 7 weeks and a massive fuss to get. They are in a huge mess and have a backlog of 550,000 to get through, according to my mp.

MumCanI · 29/07/2014 19:56

I've just had a reply from the online contact form and my application is in Durham and they didn't receive it until the 22nd July! Not sure why it's in Durham when it was signed for in Liverpool on the 16th July.

MumCanI · 31/07/2014 15:03

Quick update!

Emailed Paul Pugh yesterday morning, had a missed call 2 hours later from a withheld number which I presume was them. Checked the online status today and my passport has now been dispatched!

hello123456789 · 01/08/2014 19:13

Hi all,

We are travelling Friday, and still no luck with getting my kids passports. We emailed and spoke to MP who has tried to chase it, but to no avail. We waited on the 0845 liverpool line for 4 hours and no-one answered!

The 0300 number is no help at all.

What should we do?

Thanks a lot

Feenie · 01/08/2014 21:31

Email this address [email protected] and copy in Paul Pugh.

MumCanI · 02/08/2014 08:48

Email Paul Pugh, I had my passport in my hands 2 days later.

hello123456789 · 02/08/2014 21:58

Hi, we have emailed hpenquiries and Paul Pugh, but no luck so far. Is there anything we should say that gets it quicker?

Thanks a lot

Feenie · 03/08/2014 00:16

Did you tell when you are travelling? Plus ref no, dob, name, address, etc etc. I emailed both addresses and my mp and got a response within 24 hours.

Sorry that you are going through this, I know exactly how stressful it is Sad
