deceitful supervisor pinched my Zoom slot

I scheduled a Zoom call for an important meeting for next Wednesday, at 1-3pm. I booked this several weeks ago.

Today I saw that my supervisor has sneakily changed the time slot for my meeting, changing it from 1-3pm to 1-3am. He was then able to use this afternoon timeslot to schedule his own important meeting for 1-3pm on Wednesday.

This leaves me unable to host the meeting with clients as planned, which is very embarrassing for myself and doesn't look good for my department. Work has only said they will buy one Zoom Pro account because we are such a small team. One option is that I simply pay for my own Zoom Pro account out of my own cash...

We are a department with only 4 people and we usually work really well together. I know my supervisor has been stressed recently, but I'm surprised at how deceitful he has been. Our jobs are at risk and I wonder if he is trying to avoid being seen in a bad light during this time when redundancies are looming.

Please help me to consider what I need to do now regarding my supervisor? If I went to my supervisor to complain, he would gaslight me and say it was me who accidentally booked a 1am meeting when I'm certain this is not the case because I double checked it. I am also worried this may happen again.

Do you not get a notification of the change?

If any zoom meeting times are changed we get an automatic email notification advising ‘your meeting has been amended from 12pm to 1pm’ etc.

Are you sure you didn't accidentally set it up for am? I thought only the meeting originator could change the time

You don't need a prozoom account if you can keep the meeting to 40 mins - or you could just set a meeting for 35 mins schedule in a 5 min tea break and start another (same) meeting for 40 mins after that, you can do this for as long as you need.

If you have the email proof you go above his head. You state what you’ve done to minimise the impact on your clients along with the complaint (depends on what type of business do we can give suggestions). You say I only bring this up as it is not acceptable to inconvenience clients in this manner ( ie not making about your feelings at all).

Unfortunately it's more likely you did it by accident. I did that at work once. Did a load of posters that all went out, proof read and checked by several people to say the event was 6am.
It was only noticed less than 24 hours before the event.
I could have sworn I'd checked that several times, as could other people. Thankfully it didn't matter.

It's very easily done.

I honestly find it hard to believe that somebody would (or could!) do that. I expect you set it up incorrectly.

Did you use the Zoom invitation (either directly or copied and pasted into a calendar invite)? If so you will have a paper trail to show what has happened. I would think it would very silly of a supervisor to do this though, when it is so easily provable.

Your work really needs more than one account, sharing when there are regular meeting won’t work long term.

You really need to get proof before you complain, it would have been very easy for you to make a mistake with the booking and you would make yourself look bad if you raise a complaint when you made the mistake.

If you have the email proof, go to his manager. You shouldn't need to point out to them that it's not acceptable to inconvenience clients like this, but do so if you do need to.

Thanks for all the replies.

I have checked the central email system where the Zoom confirmations would have been sent. It seems that we don't actually receive an email confirmation when a Zoom call is scheduled. I had not yet shared the link with delegates.

I have no proof. I suppose I could have made the error myself, but I have anxiety so I double and triple check these types of things.

It is against Zoom rules to allow more than one person to use the login details. My work are pretty strict on this as they risk being sued by Zoom if they found out. We have to have indivual licenses.

Are people using Zoom for work?! What about handling of confidential information? I heard that Zoom is insecure and I've only ever known to use it for non work-related.

For work related, MS Teams is the better option when working with other colleagues, and One Consultation when working with clients.

Free Zoom is the one that isn't secure.

Zoom that you have to buy a licence for is as secure as any other similar platform.

TrickorTreacle, um, yes, Zoom has been THE product of the Covid period. Don't use it for work myself, just exercise classes at home, but loads of people I know are using it for work meetings and workshops etc.

Why didn’t you send out the invite as soon as it was scheduled? How does anyone know when the meeting is? You will have to rearrange and make sure you always send the zoom with the meeting invite so he cannot make any changes.

For this particular meeting use your own free zoom and do a forty minutes meeting

This does change what actually happened.

You planned to use a slot but did not send out invitations. Someone else has put a meeting in the diaries for the slot you planned to use.

Chalk it up to experience. Get things in the diaries as soon as you possibly can.

Send a placeholder if you don't have all the details.

Zoom is only 'not secure' because it is possible to set up meetings without any password.

This means that people only need to know, or guess, the meeting number in order to join the meeting.

Nothing to do with different versions of Zoom. They are changing the rules, from 22nd Sept you must either use a password or set up a 'waiting room' that people join, and then you 'invite' them into the meeting.

Yes just pay for a month yourself and screen shot everything you can. It's about £15 for 1 month

For this one, you have no proof that it wasn't your mistake, so assume it was. For all future bookings, get proof. Simply a screenshot of the booking screen once confirmed would do if it doesn't give you an email. That way if it happens again you can do something about it. I suggest you don't let it stew in your mind that your supervisor did this, as it's a very easy mistake to make, even when double and triple checking (your brain sees what it wants to see and 1-3 AM and PM are easy to mistake)

How many people? I've used my own account a few times and when we were about to go over up popped a 'here's a freebie box' If there's just 2/3 of you there's no time limit.
Can you use Teams? Or gasp the phone!?
