Invoicing - Is it easy to pick up ?? Can't decide wether to apply for this job or not

Jewellery shop near to me, has a vacancy for an admin assistant.

This is the job ad -

'Must have some experience of using a computer. Duties to include using computer, booking in and out post, invoicing and any other relavent duties, may also be required to serve customers on the shop floor during busier times.'

I do have experience of using a computer in that I can use email, powerpoint, the internet and word, but I am ont really up on using Excel.
Also the invoicing bit, is that easy to pick up or would they expect me to know how to do this ??

The job is only 16 hours and just fits into the school day so i'd need no childcare.

Should I just apply and see what happens ?

Go for it

PuppyMonkey · 09/05/2008 10:44

Invoicing just means sending out the bills..!

Cappuccino · 09/05/2008 10:46

yes

invoicing is just about organisation

you send out bills

you keep a record of whether or not they have been paid yet

you send out reminders if they haven't

doddle

Cappuccino · 09/05/2008 10:48

bang on about your organisational skills and attention to detail

don't let the invoicing bit turn into a big thing

someone could show you how to do it in an hour

what work experience do you have? let's see if we can fudge it

NumptyMum · 09/05/2008 10:51

Perhaps ask them whether they have a system for the invoicing, and if so what they use. I used to work for an organisation that sent out few invoices so we used Word to write them on, and did accounts in Excel. However they then got more organised with accounts and got an accounting package which took a bit more learning. When I left we took on a lady who was not experienced in the accounting software used and trained her up, as it's better to have right person to do job than have someone trained in particular package that perhaps doesn't have the other attributes required. Also they may be desperate to have someone take on job at those hours, I was really surprised how few people applied for a job of 25 hrs per week as thought it would be ideal for working mums!

HappyNewMum2Be · 09/05/2008 10:53

echo everyone above - in my experience when companies are looking for part-time admin support like this, they are looking for an all rounder that will be stable and reliable. Sounds like a nice job as well, but I would really struggle being in a jewellery shop - all that bling would be very tempting! Good luck.

JHKE · 09/05/2008 11:38

Hi, I've done invoicing and it is quite easy to do. I've done both excel invoices and invoices through software packages.

So I would say go for it!

CrackerOfNuts · 09/05/2008 11:54

Thanks all, I will definatly aply then. Have to send in CV and covering letter.

The hours are so ideal for me, 11-3 Tues-Fri.

I have a CV already so i'm going to go through that and touch it up a bit and add in some bits and bobs about computers.

I haven't ever really used a computer in any job before, apart from checking stock positions when I did merchandising, so will put that it.

This is my cover letter, can someone take a look and see if it is ok ?

Dear Ms Bansal

I was pleased to see your advertisement on the Jobcentre Plus website for an Administration Assistant, as this is a role which I would like to apply for.

I see from your advertisement that you wish applicants to have computer experience, and would like to assure you that although I have no formal computer qualifications, I am a confident computer user, competent in several packages, for example Word, Outlook Express and Powerpoint.

I feel that I could bring excellent qualities to this position, and would be an enthusiastic and reliable employee, willing to learn everything about the role and undertake any training required.

I have enclosed my C.V for your consideration, please feel free to contact me with any questions or queries you may have.

I look forward to hearing from you in the near future.

Yours Sincerely;

it sounds great

get rid of this bit thouhg

"although I have no formal computer qualifications, "

no point drawing attentin to what you don't have - and anyway most people who use computers in their work don't have qualifications for them

CrackerOfNuts · 09/05/2008 12:39

Ok, thanks, have removed that bit.

Have also taken out some of the changed a bit of the wording so there aren't so many I's in it.

charliecat · 09/05/2008 12:45

why dont you do one of those freebie computer classes then you could put i also have a certificate in...bla bla bla...I have a feeling your goona bag this one though Good Luck

CrackerOfNuts · 09/05/2008 13:49

I don't think I have time to fit it in CC, but will look into it if I don't get this one

Have cv and letter all ready to post, so fingers crossed.

This job would mean I could still go to all of the kids assemblies and workshops as they are always first thing in the morning, and are one of the things that I was loath to give up doing with them.

Hopefully I will at least get to interview, because then I can tell them about this worktrials scheme the jobcentre run whereby they get to have me work for them for 15 days for free to see if they like me and i like them.

Good luck but don't pin your hopes on one thing, and soem sort of maths refresher would really help with something like this. Have the courses come through yet ? Or M and S ?

expatinscotland · 09/05/2008 17:53

you can do a lot of courses online.

check with your local college.

i'm doing a Sage Line 50 course just now, and it's only 40 quid!

worth checking out.

invoicing on Sage is easy once you get some proper instruction.

CrackerOfNuts · 09/05/2008 23:13

I am down to start English next Friday, but at the mo they can't find me a Maths group to join, plus the woman said that the classes finnish in June so I might be better of waiting until Sept to do Maths.

Turned M&S place down. Thought lots about it, but I know i'd hate it, have been there and done that and it isn't for me.

Expat, I have looked on Learn direct for online courses about 100 times now, but never seem to find the right thing. Might ring them instead.

CrackerOfNuts · 09/05/2008 23:15

Also Liz, I am not pining all of my hopes on one thing, I have also rung for two other application forms today, this is the just the one that i'd pefer out of all of them.

Not being funny, but everytime I post about anything that might be good, you always seem to be so negative about it, and it is starting to get annoying.

OP posts:
expatinscotland · 09/05/2008 23:24

might be cheaper in a local college, cracker.

try basic accounting maths, an excel course or a beginning Sage course.

lots of businesses use Sage for invoicing and accounting because it does the double entry for you with just the one entry.

also much easier than Excel to generate reports and audit trails and also calculates the VAT for you.

expatinscotland · 09/05/2008 23:25

and still apply for the job!

if you can do a small course via distance learning online in your own time, it certainly can't hurt .

Pleased to hear about the english. Sorry not meaning to come across that way but just looking for ways to improve your chances of getting an interview. So many initial applications are sifted on tick box, competence based method that if you don't appear to meet most of the desirable criteria it can be discounted too readily. Hope one of these comes off.
