Annual leave when working part time

This is my first post and just looking for some advice on behalf of my son.
He started a job on 8th December 2021 at Mountain Warehouse and he works 16 hours a week, usually across 3 days.
The holiday period is from 1st July to 30th June each year.
As he has only just started, his entitlement until the end of June 2022 is 9 and 1/2 days.
We are planning a holiday and he needs 9 days off in total.
His manager is saying that all those days need to be booked off issuing his annual leave but I’m not sure if that sounds right as he only works 3 days out of 7 each week?
Can anyone help?

No 7 days away, leaving for airport on a Sunday then flying Monday, flight back late the following Monday.

I think that he can have about 3 weeks off as he only has to use 3 days leave to get a week off? I may be wrong as I have no expertise in this area at all!

Whatever days he is missing by being on holiday will be the number of days he needs to book

Although do they mean he won't have worked enough by the holiday date to have accrued enough days to be off?

If it’s just a week then he books 16 hours.

Is he on a fixed hours contract? If he is, and works say 24 hours on 3 days within a set week - ie Monday - Sunday, then he needs to book 3 days off.

It might be best to think of it in hours.

He works 16 hrs a week. So if he wants a week off, he needs to use 16 hrs. How nany days that translates to depends on how long he works each day!

He should only need to book the days he actually works. I would also recommend checking his contract, and the staff handbook to check any additional rules/guidance. Some employers will prevent staff booking holiday at certain times of the year, or longer than 2 weeks in one go.

Annual leave is according to how long he has been in the job,.. but of course he only needs 3 days annual leave to take a week off... it should all be pro- rata

You're right OP, if he's going to be off for one calendar week he needs to use one calendar's week of holiday so 16 hours/3 days. That is what he would expect to get paid for.

Could he have misunderstood - he needs to book 7 days off e.g. 1st - 7th of the month, but he will only actually use 16 hours/3 days of his entitlement because that's what he would work?

He only needs to book his 3 working days as AL each week. So he would need only 3 days AL to go away for a week.

However some companies have outdated IT systems which complicate this and people live with 'workarounds' which is why his manager might be asking him to book all the week as AL otherwise the 'system' will put him on rota on the days he's not booked AL.

Is there a way for him to indicate that he is unavailable to work? If yes he should use that for his non-working days in the week of your holiday and put in AL for his working days that week.

His contract states 16 hours a week. He usually does 2 shifts of 6 hours and 1 of four hours.
He works 3 days out of 7, can be any days consecutively or a day in between.

Our dates are Sunday 27th March to airport overnight, fly on 28th March. Back late on 4th April, stay at airport overnight and the drive home Tuesday 5th April. He will be available for work from 6th April onwards and last day he is available in March is Saturday 26th.

Will have to get him to ask. There is a work handbook but it never leaves the store apparently!
His manager doesn’t fill me with confidence as he thought lave year started 1st April!

Does his manager book 7 days of leave to cover a week off? No, I imagine he books five days off, if he's full time, as two days would be the days he doesn't work.

Assuming he would be due to work 3 shifts that week eg 28,29, 30th then those are the days he needs to book off. He does not work the other days so no need to book them off.
He is going to be away for 8 days though so that may fall on a 4th shift depending on his days of work that week.

He only needs to book annual leave to cover the days on which he would normally be at work. Even people on 3 days out of 7 generally have a shift/rota pattern (even if it's over a few weeks) - it'll just be a case of figuring out what 3 days his rota would have him working on the week he wants off.
