Office 365 Outlook... how I hate it...any experts around,

trevorandsimon · 29/06/2021 18:02

Hi,

I've started a new job where I use Outlook in Microsoft 365.
My predecessor never categorised emails so there are over 3000 in the inbox. I'd like to move these to a folder called Old Inbox emails or suchlike and then start from scratch with 0 in the inbox. I can see how to select all but the only option them is to mark all as unread or delete, not move them all. It won't seem to give me any options to move in bulk, just select a few then drag them which is not feasible with over 3000. Can anyone advise?

I also have changed the settings around but can't seem to get emails to show replies in the email thread. In gmail, I can have an email in the inbox, reply to it and see the original and reply in the inbox or if I move it to another folder. Most , if I reply to them, don't even show that I have replied, so without going to look in my sent folder which I don't want to do every time, I can't tell that I have replied, let alone what I have said. Although the odd few do say, you replied to this on 23/6 or whatever. Having googled I have seen many people have and hate this problem but can anyone advise how to get replied visible?

I've googled and the options tend to show a screen I don't even have!

Can anyone advise?

Do the options show outlook as a desktop app? I find the desktop app much easier to use than 365.
(But I hate gmail) Smile

And outlook should show that you have replied- at the top there'll be a blue or purple arrow and I'm small type 'you replied to this message on ...find related messages'
Or it does on desktop.

You can auto-archive them under options/advanced/auto-archive.

Set it to archive everything older than the date you want, run it, then unset it again.

poshme · 29/06/2021 18:06

I think you might need conversation view

trevorandsimon · 29/06/2021 18:25

I have the online web app.
Everything is set to conversation view.
The odd email says replied to at the tip, the majority, no

How do I do this please?

I use it on desktop not the app, so your screens may be different, but you go into 'file' (top left) and there's a list down the left side of the screen - go to 'options' and then 'advanced' and there should be an option for 'auto-archive'. You then just fill in the boxes for what you want to archive. It will create an archive folder for you.

On the web app accessed through the browser there is no file then a list of selections. Pic attached if what I see

Hmm, that's nothing like the desktop version, sorry. What's in the dropdown next to 'new message'?

Arbadacarba · 29/06/2021 18:57

If you don't have an archive function, you might be able to do it by setting up a rule. I've just googled setting up a rule on the web version and got this:

At the top of the page in Outlook Web App, select Settings > Options, and then select one of the following:
Organize email > Inbox rules > New. OR.
Mail > Automatic processing > Inbox rules > New > Create a new rule for arriving messages.

Then you'd need to create a rule that moved messages older than [x] date [or number of days] to the folder of your choice, and then run the rule straight away so it clears what's already in there.

poshme · 29/06/2021 19:36

Is there a reason you can't use the desktop version?

trevorandsimon · 29/06/2021 21:39

I'll try a rule. I've figured how to select several messages by scrolling down and then moving to another folder. I've been doing 300 or so at a time but it seems sometimes it moves them and sometimes it doesn't!

I can't use the desktop version as it's all on a network system.

I can't help but agree it's a nightmare I stick to the desktop version!

Even your browser version looks very different to ours...

poshme · 29/06/2021 22:17

Maybe I'm being thick- but why does being on a network prevent you from downloading and using the desktop version? It all syncs to 365.

I can use either desktop or 365. Usually use desktop on my regular computer, but can use 365 on any other computer.

BernadetteRostankowskiWolowitz · 29/06/2021 22:20

Create a folder.
Click once on the top email.
Scroll down to the bottom.
Press Ctrl and Shift together.
Click once on the bottom email.

This will highlight them all.

Drag one of them to the new folder and they will all go.

Are you using a work computer or your own computer?

Bibbleybetto · 30/06/2021 12:34

We have some staff at work who only have web access for O365 - its a cheaper license too I believe. So OP may be stuck with online outlook only unfortunately.

PuppyMonkey · 30/06/2021 12:40

I think there’s an option under settings- the three lines icon on top left - to untick the “group by conversations” option.

Sorry - that's a load of rubbish.

I agree.

My job requires super high security. I am allowed to use the desktop app on my work computer.
