Milage Claim Issues with DH's Company

Asking this for my DH as I'm not knowledgable with UK employment laws. Hoping you MN'ers can point us in the right direction

Backstory: DH has worked for his company, a care charity for 15 yrs. He is currently a supervisor for a house located in our town. He was asked 7 months ago to be temporarily moved to a house in a different city as they had no one else to fill in. He was promised he could claim milage to help with the cost of traveling back and forth.

The Problem: Two months ago DH went back to Uni to start a new career and has changed his contract to part time at his company. He was given a new contract back at his old house in our town but frequently receives calls to cover shifts for the new house as they still have no one to supervise full time. He asked the manger of the new house if he could still receive his milage and he has been told several times Yes- as there is bank staff that do the same thing. He has e-mails and texts from these managers to prove they have agreed.

DH turned in his milage claim for the past four months of shifts. We waited for the money to be put in but after a month of nothing we finally called payroll and they claimed his milage had been denied. According to them his managers were not authorized to allow him to claim and he is entitled to nothing! The interesting thing is that in order to claim the milage it is required to have the house managers signature and sign off the form, which he had- so they must be authorized! Plus it was signed again by a member of head office. DH would have never accepted those extra shifts had they not agreed to milage cover and we feel like now that it's done and dusted they are backing out of the deal. At the very least we are entitled to the two months that were under the old contract-

Is there any where we can go for advice? We are owed a fair sum on top of the wear and tear it put on our car as it's quite a distance. Any help would be appreciated.

What does the company's travel/expenses policy say? You aren't usually allowed to claim travel expenses berteen home and your place of work. Between each location, yes, but to their from home, no.

I think that the agreement was from work to home- If it was from his old house to his new house we would be entitled to more!! Our house is between the two locations except the new house is obviously farther in the opposite direction.

DH did say there was talk of it being milage from work to home minus what he would normally drive to his old house, but ultimately what was signed was work to home.

If it was a temporary place of work he can quite properly claim expenses for the additional travel. This was discussed and approved by someone he reasonably assumed had authority to approve it. Insist on payment, write to his boss or the most senior person in HR

I suggested he go to HR with it- Unfortunately he has stopped membership with the Union as he started Uni and joined a new union that will be with his new career.

I think we just need to fight it- This company seems to try and get away with stuff in regards to it's employees. Worst case he could threaten to leave over it- they are desperate for supervisors and would hopefully cave if they think they would lose him over it. His manager seems to be backing him up at least.

He needs to speak to the managers, not payroll.
