Carer child ratio for a Pre School Halloween party for the children

We are hoping to have a Halloween party for the children and siblings of our pre school, the question is, How many staff memebers would we need? We do have at least 5 (CRB Checked) committee members helping on the night.

We are hoping for about 30-40 children aged 18 months-6 years.

Does anyone know if we would need the staff at all (if we get more parent volenteers)? Or would there have to be a qualified person there? if so how many?

I'm sorry if this seems abit garbled, but I suppose I just want to know about the legalities of it before we start asking the staff to work that night if they don't have to.

If you are taking care of the children then I think only those with NVQs level 3 and above are counted in the ratio calculations. At our Halloween party the parents stay and retain responsibility for their offspring. Hope this helps.

Easiest to have parents stay IMHO.

Isn't the legal ratio 1:4 for under 3s, 1:8 for 3+ age.

ratios for under 2 is 1:4 in the setting for ouside the setting not your outdoor class it is 1:2

For 3/4 years it is 1-8 inside and 1-4 out

SaliMali1 didnt know that ratios adjusted outside of settings, apart from perhaps having extra staff on hand for trips etc, can you point me in the direction of regulations so I can have a mooch.

WRT the halloween party I would have thought that the registered children's ratio would be adhered to (if during the normal pre school settings time) and the non registered children wouldnt be counted in the official ratio, but additional helpers would obv be most welcome.

If the party is being held outside your registered hours, you need to check your insurance.
For any party that goes over numbers Ofsted (if you are in England) will require you to follow normal adult/child ratios (which are the same inside and out) Plus the same CRB restrictions- ie only checked people to carry out personal care etc.
What they will expect is fully risk assements on how you are going to cover the extra children and so forth.
However it sounds like your party is 'out of hours' so you could just run it as a private party anyway. Parents need to be aware it is private though, and then you can arrange it however you want.
