It needs to imply singularly or once

"I want to record essential data for audit purposes (somehow)"

Currently I record each bit in about 3 places for different people

I think the term you might be looking for is 'normalize'.

In database design, you try not to hold one piece of data in more than one place, as that carries the risk of the data being updated in one place but not the other, leading to errors ('orphaning'). So you structure it to store the data value once and once only. This is known as normalisation.
