Back Dating 30 Hours Free Childcare

So despite asking our nursery since Summer 2020 about how to get the 30 hour childcare sorted for when our child became eligible in Jan 2021 it seem we were not aware of the need the to obtain a termly code until the nursery raised it in February claiming the code they had was not valid. Unsurprising as we had never provided a code.

Despite asking on several occasions was told not to worry and just await the pack at the time. In October we received a pack (after the date they wanted them back).

The pack, which I still have, says "please read through this pack carefully, check your eligibility online and fill out the funding options form".

I recall checking the online doodah which confirmed we was eligible for the 30 hours. But didn't know we needed to apply for a code.

I completed the form which was basically asking what hours and days we wanted to do.

I sent it back and received a new invoice late December with fees reflecting the 30 hours funding.

We thought nothing more about it until late February when the nursery contacted us to ask us to confirm the code as the one they had was too long. (we didn't supply one)

Needless to say after some confusion it was found that we hadn't applied. I immediately applied and instantly received a code.

Now apparently the codes have to be submitted sometime prior to the term they apply to and because we was halfway through Spring Term.

Nursery have now presented us with a revised bill for £510 in respect of this term, due immediately.

Leaving aside issues of weather this should have been picked up somewhat earlier by nursery or if the guidance given was satisfactory, has anyone ever managed to get funding back dated to cover an existing mid term in a situation like this.

If so how?

I'm not sure it's their responsibility to tell you how to get the discount, so I think you need to take this on the chin.

I was advised that it only be backdated a couple of weeks if you can argue a very good case, and that usually only gets agreed for renewals, not the first time of applying.

It’s your responsibility to find out how to apply for the code not nursery. A quick google would of given you the answers.

Sorry it’s up to you to get the code and renew it every three months it’s nothing to do with the nursery and not their fault you never applied. I would be very surprised that the local authorities will back date it for you this too is not up to the nursery. I would speak to your local authority to see what they say but would expect you to have to pay the money you owe nursery as they would be made to pay back the funding they claimed for you and you were not eligible as had not applied.

Good News. The people in charge of the funding have agreed to fund the spring term.

Ye of little faith.

Our liability for the cost was never in doubt. But as first time parent you take the advice given and no point was there any suggestion a code was needed.

-Fingers suitably burned and lessons learned. We will be getting everything in black and white henceforth.

@Tom Raider that’s great news 😀. Just remember the code will need renewing every three months, you just log back in the site you got the code and re confirm everything.

Also the childcare account site that you use (logging in via your gov't gateway) is the same one you use for tax free childcare. Are you also using this? Because if you are eligible for 30 funded hours, you should be eligible for tax free childcare (and would have been since your child started nursery, assuming nothing has changed). I would check that you are also claiming that. When you re-confirm your eligibility every quarter, it reconfirms eligibility for both (and is very easy to do, takes about a minute).

As ever the biggest challenge was getting to speak to a human.

I think the tax free childcare account thing is what the nursery are saying or claiming has been the red herring. We don't use it, we are the last of the last on the old fashioned voucher scheme joining as we did the month it closed. I think theyve seen our voucher scheme number and just used that as they initially got in touch to say the number was wayy too long.

Now fully aware we need to update / every couple of months. I've put it in the calender.
