Ok so this is going to take forever to explain.
I am a previous employee of concentrix for HMRC. Worked there from it basically started I'm going to explain exactly what happens.
HMRC has contracted concentrix to carry out compliance checks on three specific aspects of tax credits.

  1. Working hours
  2. Childcare
  3. Undeclared partner
The reason for this is because these are the highest categories which generate the most fraudulent activity. I'm not saying any of you are claiming fraudulently however there are people out there who are. HMRC are by law entitled to do at least 2 compliance checks a year if they deem necessary. It states that in the tax credit forms. This is why concentrix has been brought in. Concentrix deal with previous year/current year claims and renewals. So for now it's the tax year 2015-2016 and your renewal for 2016/2017 they can't renew your tax credits without your annual declaration and clearing the previous year risk thats why they ask for evidence for 2015/2016 from April to April.

Everything concentrix does is regulated by HMRC to a max. Concentrix does nothing without HMRCS say so, but they do have the power to stop your claim.

So I'll go through each individual risk and hopefully make things easier for you since current employees basically can not say this shit on the phone. It's completely understaffed over 300 people for over one hundred thousand cases and the advisors you speak too are completely underpaid, they do 40+ hours a week and not one bit of gratitude from concentrix or HMRC and they are barely a day older than 21 for the most part.
Case workers are targeted at basically 25+ closed cases a day.
So think about the many letters you receive.

There are 5 steps.

Step one:
You get your opening letter stating that an investigation has been raised to ensure you're receiving the right amount of tax credits.

Step two has multiple parts:

  1. You send the evidence.
  1. Caseworker assesses the evidence
  1. Sometimes there's not enough evidence to make a decision in that scenario we go to
  1. You receive a more information letter for the majority of the evidence you've sent in already and you're frustrated as hell because you thought you sent everything in. Well no.
You haven't. They want everything they've asked for on the letters -

For Undeclared partner:

These cases are flagged because there has been someone registered to the address, they never told us where they got there information from but I'm guessing it's credit reference agencies.
Because if someone applies for a loan or a mortgage or any sort of credit, job even visas, they almost always have to provide a full address history, as soon as they put your address in, it flags up hence the compliance check.

If you live with your parents they're obviously going to be registered at the address they own the damn place or it could be siblings popping up.

If you have ANY kind of joint account with your ex, even if they're closed, credit reference agencies hold that information for years so it will still pop up.

You are not being singled out they are compliance checks. If you notice in the letter instead of over reacting it states "may be another adult living with you"
It doesn't mention partner.
It used to, but that was a major screw up on there end.

The evidence:

all bank statements from April to April. FOR ALL BANK ACCOUNTS. If you're worried about payments from people explain it in a letter, as long as you don't have transactions like "I love you hunny" or "for my husband xxxxx" or "wifey" they won't call to question the payments. Yes it's a pain in the ass but if they can see that you're financially supporting yourself then you're grand.

Tenancy agreement, but really an up to date headed letter from your landlord stating who lives in your house works just as well and has more weight than a tenancy agreement.

The reason they ask for legal separation documents is because if you are married, and separate for a short time and resume the relationship - HMRC still considered you a married couple because it wasn't permanent, so they will take the whole lot off you and make you pay it back. If you're married and you are likely to stay separated, explain to them in a letter that divorce is not an option due to financial reasons and put the date on it which your husband or wife left. If you are divorced, don't send the originals, photocopy them, have them certified by a bank with a stamp and they'll accept it.

The only thing they look for in a council tax bill is single discount

And they want utility bills to prove they're in your name.

If your ex pays them and they're in his name because it's a maintenance agreement EXPLAIN IT IN A LETTER.

For undeclared partner if you send all that crap in and before the time is up, it's dealt with more quickly.

The day you receive the letter, instead of phoning concentrix and waiting on hold for over an hour - call your bank order the statements or print them off from your online banking what's a few quid to order them rather than risk having thousands per year took away?
Call your landlord as for the letter, if you can't get utility bills because you're on prepaid meter on online statements - print them.
They give you 30 days sometimes more to get the evidence.

For working hours:

Working hours mainly flags for compliance checks because every month when your payslips are issued or your job is doing payroll by law they have to update this to HMRC, so the income they declare to them for you each week/fortnight/four weekly/monthly may be less than minimum wage which triggers the checks.
You may have been off sick or on maternity or even term time workers.

Just bare in mind, if you're long term sick - HMRC regulations states you're not entitled to WTC after 28 weeks.
For those that take a years maternity leave, HMRC regulation says you're only entitled to 39 weeks, so after that if you haven't returned to work they'll end your WTC.

For the evidence:
Forget the hundreds of payslips you've probably thrown out along the way over a year, I never kept mine so it's understandable.
Quickest way to comply with working hours and have it out of the way -

Get a letter headed letter from your employer stating the date you started work, how many hours per week you work.
16 hours if a single parent or disabled and over 60
24 hours if you're in a joint claim
30 hours if you have no children

Bare in mind - if you're employer says you work less than those hours they'll take WTC away.

For childcare:

This normally flags because the average amount for childcare for whatever many children you have may be less than what you have declared or because your childcare provider is not a registered with the likes of ofsted, family support NI etc etc
And your child has reached the age where they get their 15 free hours of childcare

If it's the latter then you need to slap your childcare provider silly because they have done you out of your tax credits.

If you use child care vouchers you need to deduct these costs now, you're not entitled to those.
And you need to work out how much you actually pay AFTER the vouchers and the 15 hours free if you claim it.

If you're in a joint claim you're only entitled to child care if you BOTH work 16 hours.

The evidence:

Again just like the working hours -

Ask your child care provider or providers to write a headed letter stating when your child started, how much you pay per week, if needs be get them to deduct the child care vouchers and free hours and include that on the letter too along with their registration number.

If it is all done like that, 98% of the time you won't get a more information letter unless you've got a brainless tool working your case.

Moving on to step 3:
The suspension letter:

This is sent for 1 or all of 3 reasons.

  1. You have not complied with the opening letter
  2. You have not complied with the more information letter (sometimes the more information letter is sent out even if you don't comply with the opening letter)
  3. You have confirmed the risk in your evidence and they have suspended payments to prevent you from being overpaid.

Like I said before, if you send what I said above, you most likely won't get a more information letter or a suspension letter.

Step 4:
This only applies between April 5th and 31st July

They'll send you a letter or call you asking for your annual declaration in full or why what you have declared on the annual declaration doesn't match what your employer said you earned for the year.

If you don't comply with this by 31st July they will finalise your previous year award on the details they have from HMRC and your current year award with be terminated.
Meaning all the provisional payments you have got from Apr - July you will have to pay back all of it, because from the start of the year, you're not actually entitled to the money until you finalise your claim with your annual declaration that's why HMRC spill so much money on advertising to remind you to renew.

And lastly step 5:

The decision letter.

This can go in your favor or against you but that's up to you.

You'll receive a non amend letter based on the evidence you've sent if you have sent in enough to clear the previous year risk for any of the above.

Or you'll receive the amendment letter,
Meaning in undeclared partner:

You have not explained it properly and they have found enough ground to amend the case on.

Or you admit you partner recently moved in or has always lived with you.

For working hours:
You've never been entitled to WTC because you haven't worked the required hours

For childcare:
Your payments you have declared are a lot more than you should be getting.

I hope this helps you understand why you're receiving these, and you stop freaking out.
You should only be freaking out if you have something to hide, if you don't. Then comply with the letters.

My advice, if you're going to call up, do it after 7pm. JC

Seems Concentrix are cocking up everywhere, while I do feel it is necessary to make these checks, Tax Credits should not give these idiots the power to stop them. I, like some of you only found out about Concentrix when my tax credits had been stopped!! Speaking to them, they told me I should have recieved a letter previously, which I hadn't and due to my 'failure to comply' my tax credits had been reduced!! Ha ha ha, my understanding of the English language 'reduced' means a lower amount.. Not sweet FA!! Like a few others I am now running a 3 bed semi and supporting 2 children on a massive 34.40 per week!! I am a full time student at the minute and now Concentrix are now affecting my student finance as they need to see my annual declaration.. Due to start back at college tomorrow with no money, can't even afford the bus fare to get there!! No longer entitled to JSA as tomorrow is my official start date, so no crisis payments can be made, as my claim is with Concentrix and they have suspended it - no emergency payments from them either!! I have now being without my tax credits for 6 weeks currently 702.96 down and the debt is mounting now because of missed payments!! Concentrix (who by the way say they have no timescales to work to!! I smell something funny) can only tell me 'they're dealing with it' and 'it had been added to a 'to-do-list' ' I mean should it not have been added to a to-do-list when they first recieved it?? These idiots are now affecting people's lives and mental health!! I think someone needs to investigate their policies and procedures!! This is the first time in 13 years I have been investigated!!

Hi all. I am also having issues with concentrix. I received a letter from them back in may asking for evidence of my childcare for the year 2015 to 2016. Not a problem and I sent the paperwork off by the cut off date of 2nd of June. My childminder upped my fee by 40 pounds a week at the end of April which included in the paperwork and sent evidence from my child minder to that affect. I then did my tax credit renewal also stating the increase. I received my paperwork back the middle of July but my award notice did not take into account or ammendments the increase in fees so I rang HM Revenues and Customs. They informed me that they could not ammend my award or payments as concentrix had not closed my case. I rang concentrix. Systems were down and I was told to call back later that day which I did. I was told my case had been investigated, that everything is fine and I was in the verification queue. That was nearly 8 weeks ago. I have tried over the last two weeks to telephone concentrix and cannot get through. I am having to pay an extra £160 a month to my childminder which has now totalled £800 since my fee was upped. Tax credits have said they can't ammend my claim until concentrix verifies my claim is OK and puts a note on my account but it is impossible to contact concentrix by telephone. I asked about complaints and the customer service Representative said I would have to complain directly to concentrix (ha joke) and that they have had so many angry people ringing them up about the shoddy and unprofessional service they have recieved by this awful company. I am writing my complaint this evening. I am wondering if anyone else has a similar experience or has been waiting for the same time period. It has been 5 months since I received the initial letter. Comments appreciated.

Hi shelly, i am the same as you. I received letter in april about childcare, sent docs off and heard nothing since. My childcare has gone down however they are unable to amend so i am being over paid. I rang couple of weeks ago and was told there was a backlog and thats why it was taking so long but they had no idea and couldn't give me a time as to when my case might be closed

Concentrix are an awful company. They did not even send me a letter asking for information. I had submitted my information online to HMRC detailing no change in circumstances well before their deadline. Then I get a letter from Concentrix saying I had not replied to their letter and were cancelling my tax credit claim.

I thought it was a simple mistake that could be sorted out, how wrong I was! Try contacting them by phone and it is a misery. No queuing system and you are kept waiting for hours. When they do answer their customer service skills are non-existant, they refuse to believe I did not receive a letter, give absolutely no information whatsoever, blame HMRC and tell me to send loads of bank statements and bills. A call to HMRC revealed they had received my online form but my claim had still been cancelled because I had told Concentrix that my circumstances had changed! Furthermore HMRC had no control over Concentrix so could not help me, and was then told complaints about Concentrix could only be dealt with by Concentrix. Plus I need to pay back HMRC thousands of pounds. Google them and see how they run their business. I did and found many hundreds had not received the original letter and realised it was a way to justify closing claims so Concentrix can achieve their targets and get paid by HMRC. Also they have a massive backlog and can expect this all to drag on for many months, during which I will not receive the money I am entitled to. My children and I are going to have a miserabIe Chistmas thanks to these idiots and I have no confidence they will put things right. am part of a Twitter campaign now to make this unsavoury company accountable for its awful business methods. I understand 100% why my childcare claim would have been flagged for checking & to an extent I'm glad it was as it's good when systems work, what I can't understand is the utter incompetence with which the check was handled & the appalling customer service.
They shouldn't be able to stop payments at all, just recommend & hmrc take responsibility - it just means they can blame each other.
OP - you talked about closing 25+ cases a day. What happens with the hundreds of cases closed incorrectly??? can you share the kpi's in place (eg call handling volumes) & the penalties to concentrix of not achieving them at all?
Oh and finally why the he'll does it take 15 days plus to send a letter from when it's dated to when it arrives with 30 days to contact them and phonelines that are inadequate???

Mamamiaa you might want to contact them. I have had a letter saying that since I didn't send them my info my entitlement was 0 and btw I owe them £4k.
When I rang to give then my delivery reference they said it would take 3 days to make the request to their post-Roman & then I would get a call back - which 10 days later I haven't.

Iv sent everything in as requested every single payslip & letter ... its being dealt with one week then apparently iv never sent anything in the next week. I'm. Living on 17 pound a week & have been for two months with an 11 yr old & iv had to quit working as i couldn't afford to get to work anymore let alone live now.
I have no idea what to do
I'm badly in debt now & I bet my case is just deleted & forgotten once iv got to sign back on th dole ...
So gutted I just don't understand why they doing this to people who are not doing anything wrong ...
Th line has been busy two weeks straight then th actual cow that answered argued with me I wish I could have recorded it
I'm livid lost my job owe out money now & just struggling when I shouldn't be

I need to make a complaint but ... is there any point?

Leannaj don't give up hope. I have just literally got off the phone after redialing for a couple of minutes then I was on hold for just over an hour. A very pissed off Irish gentleman took my call . The Irish branch of concentrix found out they would not have their contract renewed on BBC news. Anyway I sent my docs off end of may. To do with childcare. He said oh I see you have been hanging around for a few months. I am giving your case to my colleague to finalise tonight or first thing tomorrow. Fingers crossed. I would definitely complain and go to your MP.

Shelly666 I had a pissed off woman who said they have received no paper work but when I said iv posted recorded delivery & took photos n a video of me posting it to back myself up.... suddenly they had it all apart from one pay slip which is th vital decision making pay slip during this argument it was Oct , December & suddenly April's ... I said you literally have them all. I'm powerless to prove it thou they have everything from me ...
so annoyed

I checked bank this morning to find no payment. We were investigated under the childcare element. I provided all info, which has now been returned, a month ago. Nothing since. And now I can't get through. Fuckers.

They sent me a form to complete that had been badly photocopied and was mostly blacked out boxes which nothing could be written in. They never made contact with my childcare providers. They never got back to me and when I called months later to ask what was happening they said they'd closed my case ages ago and I "should have had a letter". They found it very difficult to understand that an annual average may differ from a six month average due to fluctuating costs throughout the year and had to be directed to the guidance hmrc provides to parents to use in calculating childcare costs.

They have accused people of being in a relationship with a newsagents, a dead person, a previous tenant at their address who moved out years ago. They speak to people like dirt except for when they are aware the call is being listened to by a welfare rights officer or similar. They are so incompetent even this government, which hardly has a reputation for excellent outsourcing choices and genuinely caring about claimants, has decided not to deal with them any longer.

Forgive me if your post changes nothing about my belief that Concentrix are incompetent, malicious scum.

Concentrix101 or anyone else can you possibly advise me ?

Received letter asking for proof of childcare .
Called to ask for extension as childminder in car accident and really not appropriate to approach her .
Declined extension.
Sent evidence late by a couple of weeks.
My award dropped from £140pw to £74 pw .
When I sat down and looked properly they re did 15 - 16 award minused the childcare element and classed it as an overpayment of £560 payable back now by reducing my weekly award.
This years award was exactly the same except they had listed no childcare again when initially I was awarded £1450 over the year .
This also added to the reduction.
So I am £70 per week worse off( just when exdh stopped paying the martgage ! ).
Children are back at school and I was offered a promotion full time which I've had to turn down as im getting no help now what so ever with childcare which would outweigh the rise of salary now .

Anyway I received my documents back about 10 days ago.
Today I received a letter saying " We can confirm that HMRC has NOT made any changes to your current award and we are sorry if you have experienced any delays ....."

My question is does that me my original award of £140 pw including childcare for last 2 years, or the one im getting now with no childcare and having to pay back all last years childcare ?

Also if its ( dare I hope ) the original amount ive been receiving £70 pw less since about the middle of August so 8 weeks, will this be paid back to me ?

thankyou for the detailed info. Have health issues so extremely fustrating to know that my daughter had been attending her school afterschool club and breakfast club for a while. despite an initial error was made so I was receiving less than required but I was unable to update dur to the fact the change was less than £10. The school have written me a letter. but does not state how long my little princess has been attending should the letter state that also. has to be signed by headmistress so would be really helpful not to have the letter rejected due to the above.
meanwhile afterschool club and breakfast club arrears are mounting it's so unfair. my niehbour with a newborn went from the food bank to the local labour mp. finally she has been reinstated single parent and every parent/guardians nightmare she is also dyslexic so so heartbreaking.

to add insult to family injury the notification letters come after the changes so without receiving the initial notification you just go into #panicmode so unfair on the kids. who wants to come home from school to a totally stressed out parent. x
