Taking DD's fried on holiday. What do I need to think about?

I know i need a letter of permission from their parents but is there anything else I need to think about.

Passport, EHIC etc is fine.

Travel insurance is proving a bit of a pain, has anyone got any advice?

Anything else I haven't thought about?

Make sure the parents/ carers know what activities are involved. Will there be swimming, walking etc. She will need sun tan lotion and a hat. I always specified a book too. We took one girl away in October half term to Cornwall and her parents had to buy her a warm coat, hat, scarf and gloves.
Have you thought about spending money and who pays if you go out for a meal or to a water park?

It might be worth a discussion about what happens if she needs medical care - are the parents happy that if urgent care is needed you should get on with it? (Obviously you would also try to contact them but if that’s not possible immediately). You might need a letter of permission for this?

Also definitely worth discussions about how much freedom two 15/16 yr olds are allowed whilst away so you’re on the same page!

They will need their own travel insurance / medical insurance and a GHIC card.

Imagine the friend has a fall and is in a coma. Go through the steps that you might need to follow in that case. For example, the hospital might need an adult to sign for permission to carry out a critical operation that might or might not work. Are the friend's parents prepared for you to do that? If so, it might be worth adding a clause to that effect to the permission letter, which you are extremely unlikely to be asked for at passport control but which might be useful in other "loco parentis" situations.

Also, if friend's parents buy friend's travel insurance, make sure that you understand what it covers on the medical front. If you need an ambulance and the hotel calls one, then depending on the country it may well be private (because the hotel gets commission) and basic travel insurance may not cover that sort of thing. So you pay the bill and then have to get the money back from friend's parents, which might be awkward. (If in doubt, dial 112 and let the public health system do its magic via the GHIC.)

On the plus side, documentation-wise you are fine. Passport and letter. (All of the party's passports are valid for at least 3 months after your return flight, yes?)

Lots of contact numbers. What if both parents don’t answer their phones? I’d try and get sone phone numbers for extended family.

We do this a lot and use Coverwise for travel insurance. Individual policy for the friend coming with us.

Agree lots of contact numbers - both ways including extended family.

Letter from parents (check specific rules of country you’re visiting- does it need to be notarised for example?)
