Increasing (term time) cm days-how should pmyt change?

Hoping you knowledgeable lot can help me

My dd goes to a really lovely cm. she started 3 jan, two days a week. Her first day was 5 jan (she goes thurs and fri) and I paid the first payment in cash.

Thereafter I set up a standing order to pay monthly amount every 1st day of the month. She has recieved feb paytment and will shortly recieve march payment . CM is term time only so this was calculated as 39 weeks x full daily rate + 9 days x half daily rate Divided by 12 (unsure why I'm only charged for 48 weeks, guess its because she or I take some holiday during the year?).

My question is now I'm upping to three days a week, what day/week can I start this new arrangement. As I said she will recieve mar payment 1 march (for new amount). Can I start the three days next week 27 feb? Or should I start the following week, after 1st march, so after cm will recieve new higher payment. It's the term time bit confusing me-before I have just paid cm days she has looked after children that's it! One solution could be to bring the monthly payment forward by one week? So she recieves it say 26 feb and then looks after dd three days a week from 27 feb???? Does any of this actually make sense to you!!!!!

I'm probably really over thinking this-sorry-but I just want to make sure cm is not out of pocket and looking after dd when she hasn't been paid iygwim

i take 4 weeks as unpaid holiday so I too charge only for 48 weeks of the year.
Why not ask your CM about the payments?

Yes I thought rhe 48 weeks thing was holiday

I charge by the day, not the month, which might work better for both you and your CM.

Yes that is true but I'd rather not tell me cm how to accept payment! :)

She does charge by the day but accepts payment monthly

I have a simple calculation sheet I use for mine which has the bank hols and my 4 weeks hols deducted. I work out the cost for each month (as my days off will work differently for different contracts as mindees come on different days etc.). I have to have different sections for before/after school/school hols as this can vary depending on when they are coming so I'd find it quite easy for Term Time only. I work out the annual cost and divide by the relevant number of months. So when I have an increase/decrease in days/hours, I go back to this sheet and rework the figures accordingly (offering them to start as soon as they need me) and then I divide that new amount by the new relevant number of months i.e. you change next week, I work out the necessary on the calculation giving me the new total - end Dec and then would divide this new figure by 10 months so from 1st March onwards, my payments would be this new amount. If your payment for March is too late to change, you can do a one off extra payment and then amend the standing order to the new amount once it has gone through.

Sorry, that probably makes no sense, was going to reword it to be more clear but just noticed ds2 has fallen asleep on the sofa so I think I best put him to bed!

I accept payment monthly as well, but it varies from month to month depending on how many working days there are in the month, bank holidays etc. looneytune that sounds fiercely efficient! I tend to do short-term contracts so don't have any incentive to work it out over the year. Also I don't take holidays.

My CM also works out my annual payment and divides by 12 months so we pay the same each month regardless of how much we actually use her services. We also only send the DDs to her in termtime. TBH I now do the sums and she checks my figures (after she overcharged for several months as I had not checked her figures - my girls use her at different times on different days around school and pre-school so it is complicated!)

Regarding your situation - I would say that the easiest thing to do would be to

  • start your extra day as soon as it suits you and the CM
  • rework the total for the whole year (we work our contract to match the school year (Sept-Sept) as our needs change then). So from 5.1.12 until now is 7 weeks (including this week but not half-term (do you use her in half-term? Have assumed not as a term-time only contract)
  • this leaves another 32 term-time weeks (to total 39)
  • holiday retainer would be 1 week at 50% of 2 days and then the other 8 weeks at 50% of 3 days.
  • grand total (14 + 96 + 26/2 days) = 123 days x daily rate
  • then subtract the amount of money you have already paid
  • whatever is left...
  • Then you either divide this by 10 months if you can change March payment in time or else you pay March as usual but pay the extra in cash for March so that CM is not out of pocket (you might be in the short term but it all works out in the end!)

Keep a track of what you pay in case you need to change the hours again before December.

When will you start using your CM three days a week? I would just do the same calculation your CM did before for the weeks left of the year.

So let's say you pay £14 per day (4 x £3.50) that makes £28 a week for two days. Add another day, makes another 14£. Let's say you start at the 5th of March, we have another 43 weeks left of the year. Subtracting the four weeks your CM takes holidays (if she hasn't already taken some this year) and the 9 weeks half pay that makes 34 weeks left full pay (34 x 14 = 476) and 9 weeks half pay (34 x 7 = 238) makes together an extra 714£ from March to December. Just divide this by 10 (71.40£ extra per month).

I don't know what you pay your CM and this was just an example. I hope this helps.

So basically what I need to do is sit down and work out the weeks left in the year to work out exactly when she can start (or of course the other way round, start her next week and calculate the figures by working out weeks left etc). I'm ok with working out how to calculate the figures it's
Just when to start that's the problem
