Eploying an assistant: what have I forgotten?

Hey folks, I have found an awesome assistant to come and work for me one day a week. Can't wait, so excited to get one day every fortnight off (I work with another childminder in case anyone is wondering!)and not have to worry if I'm poorly (worked last week and this with a broken rib!)

Anyway I have told:

My house insurer
Morton Michel
Ofsted and filled out an EY2 form
FIS and booked her onto a first aid course
HMRC and filled out a p46
Parents and filled out new permission forms
Also done a contract.

Have I forgotten something?

Thanks!

Employers liability insurance?

navyeyelasH · 28/02/2011 18:09

Done it I think? Wouldn't it be either house insurance or morton michel insurance?

You need permission from OFSTED before she starts (usually on receipt of her CRB)

Can't remember if she has to have first aid before she starts or if that is only my councils rule

Food hygiene & child protection/safe guarding are require (in my area not sure if it's a nationwide rule)

induction (& therefore appraisal) are good ideas but not essential

KatyMac · 28/02/2011 18:10

You will need an actual certificate of employers liability insurance (before she starts)

PaulaMummyKnowsBest · 28/02/2011 18:16

my MM insurance policy automatically gives me employers liability cover

navyeyelasH · 28/02/2011 18:38

Katy, thanks, so many things to do! Ofsted have said they will amend my certificate once the ey2 is complete. She can't be left alone with children but can start prior to first aid cert. And the other things must be regional. I put inductions and appraisal stuff in the contract.

I'm a bit confused about MM now. Let me have a gander at y certificate.

it says £10,000, 000 employers liability??

Looks like your MM insurance covers EL then - that's good.

A few other reminders:

What are you going to do about payroll? Is she earning less than £97 a week? Did she tick box A or B on the P46 and sign it - if she ticked box C you are going to have to operate payroll anyway? What about weeks she does extra time when you have a broken rib (hopefully not again)? How are you actually going to pay her - cash (need to remember to get some cash out of the bank each week) or bank transfer (need to remember to do it in time, make sure both banks can do Faster Payments)? What about a pay slip?

mranchovy · 28/02/2011 19:03

Oh just thought - is that £10,000,000 EL cover on your househould policy? If so it will probably only cover your domestic employees, not employees of your childminding business. But if it is your MM CM policy you should be OK.

Health and safety at work booklet.
Whistle blowing information.
Induction programme.

navyeyelasH · 28/02/2011 20:29

Mr Anchovy - she will only earn £60 gross per week on a typical week. But for 4 weeks of the year she will earn £300 gross. I called HMRC and they said I need to register as an employer which I have done and I'm waiting for some holy grail sounding cd in the post. On the P46 she did box B which from what I can gather is some sort of weekly tax code? She will also earn more when coving my sickness or the other childminders sickness.

I will use HMRC tools to do pay slips which I will do weekly and she will also be paid weekly by standing order.

Babybaabaa, no idea what those things are?! But I have gone through all my policies and Procedures etc with her and have also put her on a safeguarding course.

My CD Rom doesn't do payslips

But next years might [hopeful?]

mranchovy · 01/03/2011 21:43

Navy you would be much better off paying her an average rate of £78.50 a week (this accounts for 4 weeks at £300, but you might want to add some more for sick day cover), you wouldn't have to do PAYE then and would save yourself all the hassle plus NI for the 4 weeks (that only comes to £77 for her and £90 for you, but it's the hassle that's the main thing).

If you don't decide to do this, I wouldn't hold your breath for the CD - it's more of a leaky sippy cup than the holy grail. It doesn't do payslips for a start.

I wouldn't normally recommend paying by standing order because the amounts of tax and NI vary due to rounding in the calculations, but as the normal weekly pay is below the tax and NI thresholds it shouldn't matter.

KatyMac · 01/03/2011 22:00

I cheat - I give my staff a copy of the P11 & just write the net pay on it - which is very naughty

mranchovy · 01/03/2011 22:20

Nothing naughty about that Katy, it provides more than the minimum requirements although it is not very user friendly!

KatyMac · 02/03/2011 06:54

I know - but they like the big black felt pen total I write on Blush

The CDrom should do payslips - it's an easy next step for them Sad
