Title is confusing, sorry.

DH is a Maths teacher and does a fair amount of tutoring. We also own a tutoring business that’s successful and write resources we publish etc.

DH has a two year waiting list and specialises in Private Entrance / 11+ (Maths/English/VR) up to A Level Maths. However, up to now he has operated a very laissez faire approach, based on trust. Kids have their time slots and in general, everyone keeps to them.

DH doesn’t teach in half terms but occasionally will if asked (for example exam time). He never cancels (he has never had a sick day) and only ever rearranges if he has parents evening / family event.

He’s just had a cancellation because the child forgot to log in as he’s revising his GCSEs. It’s annoyed DH as it’s lost income. He needs to implement contracts but what terms are fair when he may occasionally need leniency for parents evenings or my birthday? What do other tutors use?

I would say a month's cancellation on both sides and no refunds/payments need to be made. 3 cancellations over 6 months and he reserves right to drop them.

My dd’s piano teacher used to say, if you tell me a month in advance, I won’t charge for a cancelled week or I’ll try to slot you in elsewhere to catch up. Within a month, I’ll charge you the lesson cost only if I cannot organise a swap with someone else or find someone who wants an extra lesson. She was very good at swapping lessons around!
