Please help with working out holidays from work!

This is giving me a headache so any help working out if work are correct (they probably are) with this would be greatly appreciated.

I work 22hrs a week. This is made of 6.5 hours x 3 times a week and then 5 hours every other Saturday.

my annual leave is calculated in hours. When I book a week off it books the 22 hours off, but when I book a single day off (which has no bearings on my Saturday worked), it books off 7.5 hours; saturdays can’t be booked off, it’s always been that way. The rule has always been that if we book a week off, we don’t work the Saturday before, or of, the week off, but work 2 other Saturdays in the month.

i don’t know if I’ve been thinking so much about it that I’ve confused myself, but it’s starting to feel like this works for full timers (who get a day off in the week in lieu they’re working a Saturday), but not part timers. It’s come about as I want to book a day off for DS’s sports day and I don’t understand why it’s booking 7.5 hours off but want to check with people infinitely brighter than me before I question it.

it Should be 6.5 hrs for a single day off. Is they a way of adding a note to the request?

I would have thought as a part time worker you should receive your leave in hours not days and just book off the number of hours you need for each day. That’s how it is where I work.

It should allow you to book your average hours. I’d question it. It is clearly set to a default for full timers.

Agree with the others, you should be receiving your hours off, ie 6.5hrs rather than 7.5. You're being penalised 1 or 2.5hrs every day you book and that isn't right.

How many days AL do you get? It may be compensated for in respect of you needing to take 7.5 hour blocks

Your entitlement is 126 hours or (20 days based on a 6.5 hour shift and rounded)

If you work an average of 22 hours per week then your entitlement is 5.6 weeks x 22 = 123.2 hours.

They should only be deducting the number of hours you work on a particular day so 6.5 hours for a weekday and 5 hours for a Saturday

Our leave system wasn't able to handle a full day leave request from part-timers so they would add a note to the request and HR would do a manual override so that only the pro-rata hours were deducted.

Ah so I’m right in my thinking (sort of). I don’t know if the fact that Saturdays are incorporated into part timers hours, whereas they aren’t for full timers, made a difference.

I think you need to have a conversation with HR about this, because even subtracting the 22 hours a week off doesn't seem right to me if you are still expected to work 2 saturdays in that month.

By my calculation, you do 88 hours in a 4 week period. So 6.5hrs x 3 a week, which is 19.5hrs a week, or 78 hours in a 4 week period, and then 5hrs on a Saturday x 2, which is 10 hours in a 4 week period, bringing you up to the 88 hours.

So, when you book a week off work, you are taking the 19.5hrs off, but are still expected to do your 10 hours of Saturday work, so shouldn't be using up 22 hours for the week .
Likewise, when you book a day off, you should only be using up 6.5hrs of holiday.

The only possible exception would be if they calculate your holiday allowance to allow for the fact that the system is 'overcharging' you.

It's worth speaking to HR about it. If they have some burning reason why it has to work that way then they can explain it to you. Or it might just be they hadn't noticed and no-one's raised it before

Yeah, if you can't take a Saturday off then why are 22 hours being deducted for a week off when you still have to work it on a different weekend?

Unless they give you extra leave to allow for the extra hours being deducted then you arent getting your proper holiday entitlement
