Something doesn't seem right??!!

I work in a small office with around 5 colleagues.
I work alongside one person and although we have different roles, some of our work overlaps. She is well known for having a poor work ethic.

She is off sick quite often with different things like sickness, tummy ache etc. She also has a lot of dependants leave. Part of my role is to note staff sickness and report to Senior Management so they can organise cover. I realised today that she is recording her own sickness as part of her HR role. Whilst I have been doing my job, I noticed that she hasn't recorded it right. She had 1 dependants leave and 4 sickness. She shouldn't get paid for the dependants leave. She has recorded it all as sickness (maybe because she will be paid for all the days then?)
Should I mention this to anyone?

I would probably mind my own business.

Lochjeda · 26/09/2022 20:44

You wouldn't be doing your job correctly if you didn't and if it is picked up and then they ask why you didn't pick it up they could believe you were knowingly over looking it and fine with her doing it.

It is her business as it’s part of her job.

Yes OP you need to deal with this now you’ve found it.

Riverlee · 26/09/2022 20:46

I’d be tempted to submit my own report, especially if that’s part of my usual role. I wouldn’t necessarily point out the discrepancy. Guess she doesn’t want to loose out on pay, but if she reaches her sick pay limit, then she’ll loose out anyway.

Duh , it's her job to monitor it , Jesus ...
Of course report it
What happens after that is out of your hands

Caroffee · 26/09/2022 20:51

Yes, mention it. What she's doing is fraudulent.

Cw112 · 26/09/2022 20:52

I'm not sure the ins and outs of how your organisation works but the only caution I'd have is over private arrangements she might have come to with a manager. So depends on how much you're aware of the ins and outs of her absences and who she reports absences to. If it's your normal job to do reports that would flag this up and you do it with everyone then I'd be inclined to go ahead and do that because you're only doing your normal day to day. If you're worried about how she'll react and you work closely together you could go to her and say you noticed what you think might be a mistake and ask her to look over it again to give her the chance to correct it before you send your report on. If it's a genuine error, she'll fix it and it won't happen again and if it's not then she'll realise she could be caught out and hopefully stop doing it? I'd play dumb and act like you're just checking it with her as part of your normal duties without accusing her of anything underhanded.

Did you do this at the time? If so surely senior management are aware?

Discovereads · 26/09/2022 20:57

I’d ask her first. It’s not uncommon for the DC to bring an illness home and then you come down with it too. So you’re sick and you’re caring a for sick DC all at once.

MissyB1 · 26/09/2022 21:00

Talk politely to her before you go trying to get her into trouble.

Sittingonabench · 26/09/2022 21:08

mentioning It to her would seem reasonable under guise of oh have I got this wrong? But I would flag that there is potential room for a conflict of interest here with her monitoring her own absence.

pilates · 26/09/2022 21:32

Yes I would. You wouldn’t be doing your job properly if you didn’t. I hate piss takers.

Rude

She didn’t say it was her job at all. She said she reports sickness to management to arrange cover, not to retrospectively nose through historic claims

Not rude, just correct.

The OP says Whilst I have been doing my job, I noticed that she hasn't recorded it right.

this person is taking money she isn't entitled to and she's doing it by deliberately lying.

SillySausage25 · 26/09/2022 22:24

@BoogieBoogieWoogie I didn't nosey. I have to note all staff absence in a database. I have to know the reason. I asked a senior staff member (not her line manager) why she was off and was told it was dependants leave. The day after I was told she was now sick and so that's how I recorded it. I thought no more about it.
Today I heard her day to her manager that she had dealt with all three staff sickness on the absence system, including her own. I use the same absence system to do some of my work. On the front page it tells you who is up for monitoring by their line manager and her name was there with 4 days sickness leave.
I don't want to get anyone in bother. I guess her line manager should notice this when he does her return to work interview.

Can you casually approach her about it, without being accusing. Just say you're reporting the monthly sickness stats, and you just wanted to check if the 4 days are correct as you weren't sure if 1 was dependant leave? See what she says. If she gets funny then she is deffo recording incorrectly on purpose and you should report it in confidence to your line manager to take it further. Could be a genuine mistake though?

SillySausage25 · 26/09/2022 22:48

Yes I could do that. Thanks for the good advice everyone.

😂😂😂 only on Mumsnet is it so frowned upon to involve yourself in anything.
See a child getting shouted at? Mind your own business.
Dog not being fed? Mind your own business.
Friend cheating on her husband? Mind your own business.
Someone doing something immoral and against the rules at work which affects the company I work for and is my job to monitor? Mind your own business 🤣
