AIBU to be pissed off.

-NC so as not to out myself-

I work in an office. In sales. Our general manager (GM) is also a salesperson. Our usual procedure is once an order is placed, an information sheet is filled out with relevant details and the order is then passed to me for processing when I process the order and draft documentation to be sent to the customer.

Today GM says he has got 2 large orders incoming. He says to me could I get the contracts ready for those orders so there's no chance of delay as they are time contingent. Fine, I can do this. I go into the sales record and the information sheet is blank with no info including the company registration number being blank.

I ask GM is he going to complete it? "No."
I ask does he have the company registration number for the company? "No. But you can get this when you do the company check"
Could he just confirm the correct company names so I can search on those instead of the CRN? "Stop being so bloody difficult and just draft the contracts!"

I retorted with "I'm not being difficult - I am trying to ensure I have the correct information. Unless you prefer me to draft the contracts incorrectly"

I then discover that on searching on the info I was provided that one company has 2 different names and CRN's and one company based on the info I am given is DISSOLVED!

AIBU to be pissed off at my GM's attitude and to raise it with my manager? It is the latest in a long line of things he has said/done to make me feel very belitted at work. FWIW, my own manager thinks the things said/done are not right.

Raise it. Up to manager to decide what next. Sounds like som kind of fraud to me, even if low level faking numbers to get a bonus.

I'd send an email. Saying you're trying to draft the contracts but really need the info sheet and explain what you've found on line, cc your supervisor. I'd leave it there.

I have in writing from him which company name is company number 1.

I also sent him a screenshot of the second dissolved company asking for the correct info.

I am sick of being treated like a gofer which I know in essence I am but we have a procedure in place for a reason. He certainly does not lead by example.

YANBU. I did a similar job previously and has similar problems as described as many companies have similar names on Companies House and related companies can mean it's easy for mistakes to be made.

Can I suggest reviewing the information sheet firstly to see if anything can be removed that's unnecessary and if not work with your manager to reinforce standards that fields are completed? That way you are trying to help improve efficiency and reduce the sales team's workload and don't just seem to be highlighting an issue.

Perhaps a quick time and motion study of the time difference in having a completed sheet and therefore being able to produce all documents versus time spent chasing/checking information? In busy periods I would imagine your only option is to move the GM's work to bottom of the queue while you work on the information you so have.

I still remember being embarrassed and frustrated that a customer called me to advice documents produced by our office were under the "wrong" limited company. I had completely all admin like yourself but had "back of a fag packet" information quoting the company name i had used as opposed to a full information sheet. Several hours of my work and an underwriter's had been wasted and being a Friday afternoon it was a nightmare to still meet the customer's deadline Confused. I used it as an example that not adhering to an agreed standard had caused numerous issues that could have been avoided. However I did also review our information sheet and found much of the information we expected sales people to complete was unnecessary.

HTHs and definitely agree the GM is not leading by example!

What makes it even worse girlelephant is that we recently overhauled the whole sales quotation package, including the information sheet, which the GM said was brilliant and a much better service! Then he fails to even bother completing it himself.

I can ordinarily, turn a new sale round, completing all documentation, in around an hour. Because the GM fecked off at midday, and I didnt have the confidence to call him and ask the questions I needed to, we were back and forth all afternoon from midday til around 5pm. AND we still didnt even get the order in!
