I would like an invoice????!!!!

Hi

Been with a local nursery and have been very happy and DS is very happy - all good :)

However back in March we were given notification that new payment system being introduced - went through it fine no great dramas, however..........

They now won't issue invoices which is a real pain for 2 reasons

  1. I like an invoice for such a large amount of money audit trail and all that
  2. We had 2 invoices one to my husbands own Ltd company so we could claim some our child care costs through that way - we need an invoice for accounting purposes and its a flat no.

Has anyone had any experience - any help would be much appreciated

If the business is vat registered they are legally obliged to provide a sales invoice showing the net, vat and gross amounts.

I would ask for an invoice as, despite paying a fixed amount on a monthly basis, twice our nursery has made errors in our invoice. Once they only charged us for half the month and the other time they removed the credit we get as part of the free 3 hours funding thing. I would have carried on paying my normal amount and would have ended up in debt to them if I didn't get an invoice to check.

Can you stop paying a fixed monthly fee and ask for an invoice to settle instead?

We contracted childcare via our business for DD with no problems.

Sorry If I've confused people

We've been receiving 2 invoices 1 for the business and 1 for us personally now for about 18 months so they are fully aware and compliant with initial request when we first started there.

On the advise of our accountant we can part claim child care costs, not all of it, it works similar to child care vouchers.

I will ask our accountant about a receipt being sufficient for the tax man.

Unfortunately I have spoken to the owner and their accountant and not made a lot of progress.

I agree I don't get a receipt every month from the mortgage company or utility bills in that respect but you do get a statement every so often so payments made and also arrears and any credits?!

Oh in that case I do think it's odd not to get an invoice. Particularly because it doesn't take very long to do one or need any special skills. I produce two or three per month for my business. It takes minutes.

If you offer to pay only when you get the invoice what then?

Is the nursery registered for VAT? Is your ltd company also registered for VAT if the answer to both questions is yes then legally they do have to provide an invoice but childcare is VAT exempt so I wouldn't expect a nursery to be registered which is why I stated they are not obliged to provide an invoice. it is possible that their accountant has advised them not to issue invoices can't think of any reason why he would but you never know. Yes receipts are acceptable for HMRC purposes as long as you are not trying to claim back VAT but since childcare is exempt that wouldn't be happening anyway.

Asa nursery manager I cannot see what there problem is ! I issue receipts for weekly monthly payments ( fees are paid in advance ) however I have backtracked through records and wrote statements /breakdown of costs if requested ie for tax credits/any other reasons and have had no issues with doing so . An invoice is for payments due and as fees must be in advance not really needed except to Bill social services/colleges who pay in arears for sponsored places . If you just need proof of payment I can't see why they can't comply
