AIBU to not be too bothered about paying for Afterschool Club?

DD goes to breakfast club and afterschool club 5 days a week as I work full time. She has been going since March this year. The first half term that she went, the organiser gave me an invoice almost immediately however that was only after I asked her for one to provide as evidence for the childcare element of tax credits.

Now that is the only invoice I have ever received from them. In the summer term, as I knew that the fees were circa £50 per week, I generally gave them that, or perhaps sometimes it was £100 for two weeks etc. I kept a note of how much I gave them (£600 in total for the summer term). In the last couple of weeks of the term, I asked the organiser if she could just let me know how much money left I had to pay. Her answer was "no problem, I'll give it to you next week". Next week I received nothing, and reminded her again that I will settle the rest of how much I needed to pay .... I received nothing, and didn't get told verbally either how much I needed to pay.

It has been the same thing this term, but the fees have gone up, and also with it being a longer term it there will be more to pay. I have so far paid £600 in cash, and once again have asked the organiser if she could let me know how much left I have to pay (I'm not asking for a breakdown invoice - a slip of torn paper with a figure on will do me) and once again, I have been fobbed off with "Oh I'll give it to you tomorrow/next week/never "

I know one of the other mums sits down and works out herself how much to owe each week, however I am too lazy not organised enough to do that.

So AIBU to just leave it (with a reminder each week to the organiser) and not pay any more money so I don't risk overpaying? (Writing it down like that I fear IABU but general consensus?)

YANBU - you have asked on numerous occasions and they are too disorganised to get you a bill sorted - I wouldn't pay any more until you have a bill, if they are that disorganised how will they sort out an overpayment?

No, leave it until you get a bill.

It is up to them to give you an invoice - you have asked repeatedly. Does the afterschool club have an email address so you could request it more formally?

Thank you for your replies. I only mentioned it as a colleague of mine feels that I should be working it out myself as they are providing the service.

GetOrfMoiLand - no unfortunately they don't have an email address. The only means of contact with them (other than face to face) is a mobile phone.

YANBU - Leave paying any more until she bills you. I hope you know exactly how much you've paid so far. If she is so bad at invoicing then I wouldn't trust her to keep an accurate record of payments either. Does she provide receipts?

No I don't get receipts either, however I keep a record of how much I have paid and when.

How about giving the organiser a formal letter asking for invoices? It makes me think that there is some problem with the money side of things if no invoices are being issued (or maybe I'm just an old cynic). It would be easy to skim off some of the money if no proper accounts are kept wouldn't it?

Are they inspected by Ofstead? Wouldn't they require proper accounts?

I hadn't thought of that pippop (the money skimming side). As far as I am aware, it is only the organiser who deals with the money side. When I have tried to give them money when the organiser has not been there, they have refused to take it and have been told to wait until she is in.

They have got an Ofsted registration number (was given it for the CTC).

My DH is an accountant and always thinks of fraud when there are strange practices with money. You say you pay in cash. That seems a little odd.

I wonder if anyone pays by cheque and who cheques are made payable to. It should be the name of the business, not a person's name.

Doesn't seem quite right to me that you pay in cash. Ask around and see if everyone does. If they do alarm bells should be ringing loudly.

I would keep a very good record of what you have paid and the period it covers, then keep a record of the hours you haven't paid for, then leave it until you get told how much you owe. The onus is on the 'business' to bill you - not for you to be doing their paperwork for them.
