Anyone know about HMRC/payroll? New employer deducted paid off student loans

Due to an error, my new employer has deducted student loan money from my first payslip. I paid this off a few years ago.

Before starting I was asked to complete a series of online forms. I had a problem with the HMRC online form which opened strangely although I did my best to complete it. I flagged this to an admin person and asked them to check over - they thanked me for the paperwork and said nothing about it.

I'm told I checked the wrong box and payroll cannot change this if/until HMRC tell them it is an error and recompense me. I find this worrying because I have to rely on someone noticing this error and I'm not convinced - is there anything I can do about this right now?

Also not being stroppy Wink but I have the foundation degree in payroll management and have been doing this job for 17 years to now a very high level.

I really don't need FPS rules quoting at me like a newbie.

Our Faster Payments go through within minutes of being sent. No need to have sent any BACS yesterday. Today or tomorrow is fine for money to hit accounts by 12 noon on Monday.

I interpreted your phrase "it would have needed to be submitted" as the FPS, not the BACS payment. Especially as many companies don't use BACS anyway.

Fair enough - just a misunderstanding of terms.

Out of interest though, why are companies using BACS less and less? I've worked for a few very well known companies and have always used BACS.

Would be interesting to hear a different opinion on it.

You said "Definitely won't be able to correct for January". It now turns out that you meant "won't if your company is the same as mine and uses BACS ".
That's not helpful to OP - because you don't know if her company uses BACS or Faster Payments - and time is of the essence.

Try HMRC now the deadline for filing has been extended to 28 February this year so there is no reason to not try today.

HMRC haven't told them to do it, as it was you who checked the box wrong the payroll dept can sort it. It would only be if HMRC had notified them to do it they would have to wait. They can just rollback your specific payroll record and resubmit the FPS/EPS. However, if it's a big company they are unlikely to do this as they won't correct small errors but can do it next month without any communication from HMRC.

So why are they telling me they cant do it then?

I took advice from someone else in accounts this afternoon who said I should try HMRC first of all. And that I will definitely be reimbursed at some point no matter what...

I mean, if the guy is just annoyed me with for checking the wrong box that is ridiculous. I said yes, it was my error, can you help fix it. He certainly hadn't offered to help me rectify this for next month.

@Lucia23 possibly because they don't actually know they can or because it is their policy not to if it is not their error? If they have specific internal deadlines they may not do it. I work for the NHS and they wouldn't change it between pay runs, I run small company payroll and I would do it for my clients.

Either way you will definitely get it back, definitely don't worry about that.

Even if you call HMRC they will only rectify it for future pay periods, there is no reason for your company not to amend it for next month even if they won't do it this time.

This is precisely what I thought @PugInTheHouse. And yet 2 accountants at the company are not telling me this is possible.

I've to keep one of them (the senior one) updated on the situation, so she might help in the end. If none of that works I have an excellent manager - I'd rather not bring him into it, but I'll probably raise it if I need to

I imagine the way you approached him when you thought it was his fault, didn’t exactly warm yourself to him to make a real effort on your part on a Friday afternoon!

I admitted it was my error from the start - what I asked for was help in rectifying it. I didn't approach him in an unprofessional manner so you are making assumptions.

However - when I first said I was struggling with the form in December and for help to make sure it had been properly completed, they didn't respond. Probably because I started working there right before Christmas and people were in holiday mode.

I still can't open the HMRC document properly. All the other forms were fine.

At this late stage, payroll people don't like faffing about with changes (I know this because I am one) but if it has been due to their error then they should sort it. Grin I'd rather faff now, in the same month, that faff in the subsequent month!

Absolutely agree (today has been a nightmare but I do payroll in an accountancy practice so more than one client causing problems).

I'm always banging on about clean amendments to my team & these are definitely easier to achieve within the correct month if I could just get clients on board with this

I think companies prefer bacs as it's more private.

If we pay 100 staff by bacs it's one line on our bank statement. If we did it faster it would be 100 lines
So much better if others can view bank statements to have it as one line (and easier for bank recs)
