How do I phrase this work expense "comfort seat"

I'm submitting my expenses and thanks to my giant arse and a fear of subjecting my fatness onto strangers I have a "comfort seat" booked for my flight. This is a work trip. Do I have to spell this out to the expense team or will they know that a comfort seat on my receipt is why it also says 2x air fares for the journey.
(Normally I pay the second seat myself by ringing up after but Ryanair have stuck them both on my receipt together)

Will your work definitely cover that? What does it say in your policy?

I'd just put it down as comfort seat but don't be surprised if they question it.

I should have added you possibly should have got it approved before booking.

It doesn't specify in the expense policy but the receipt just says "2 x air fare comfort seat" all on one line and there is no breakdown. Or else I'd just blank it out and claim for one normal person seat.

I would claim for one seat and say you chose to pay for the second out of personal preference.

nicecuppaforme · 28/06/2019 12:33

Well you can't blank it out, surely you have to provide receipts /invoices and your description needs to match them?

Or do you mean you'll only claim half of the cost?

Just submit it then email the relevant person an explanation and an offer to reimburse them for the second seat. I'm sure they'll be fine if they realise that you're not trying to rip them off.

Thanks will just do that and find someone to email. I'm overthinking it as I'd like to avoid discussions about my fatness in my office tbh.

I suppose it depends on your company's policy and whether you need a second seat, or just wanted one, but you should have discussed this with whoever approves expenses before booking.

If you can't fly without 2 seats, you should have said to them 'if you want me to fly to this event, I need two seats' to which they would probably have had to say yes. They could have also looked at it another way, such as would another airline with more spacious seats than Ryanair been able to accomodate you in one seat?

If it was just a 'nice to have' ie, you do fit in one seat according to the rules, as in even if you need a seatbelt extender, your company is in their rights to refuse to pay the extra. It depends how generous they are. I'm quite tall, so am sometimes uncomfortable in standard seats, but I do fit in them, so my work would never even pay for extra legroom for me. They probably wouldn't for my 6 ft 6 colleagues either, but that's a separate issue.
