Our busy psychology practice is looking for an experienced bookkeeper to take ownership of our finance and revenue processes.
When done well, this role genuinely makes a difference to the people we support. I’m seeking someone who takes quiet pride in contributing to that by keeping the financial side accurate, organised and calm. Ideally, this person would like to become a steady, long-term part of the practice.
This is not a junior or trainee role. I have high standards and value precision. I also value steadiness, personal and professional integrity — I’m not looking for someone who repeatedly breaches their own boundaries or strives for unsustainable perfection.
Experienced candidates, including those returning to work after a break, are very welcome.
The role (approx. 4–5 hours per week / 15–20 hours per month):
Revenue & Invoicing
- Raise approximately 130 standard invoices per month within our CMS
- Upload approximately 30 insurer invoices per month via insurer portals
- Ensure correct insurer rates and wording are applied
- Once reconciled, mark invoices as paid, send receipts and attach remittances
Reconciliation
- Full bank and Stripe reconciliation in Xero
- Ensure CMS and Xero align accurately
- Investigate and resolve discrepancies
Associate Reconciliation
- Prepare monthly associate payment schedules (I authorise and pay)
- Apply and invoice referral fees correctly
- Handle routine associate finance queries
Other
- Monitor finance-related emails at least twice weekly
- Review aged receivables and send reminders
- Produce a clear monthly P&L
- Provide six-monthly reports including associate tracking
The practice is non-VAT and service-based. We work with several insurers, and attention to detail and consistency are essential. No strategic advisory is required. However, I may occasionally seek your practical input regarding Xero optimisation or CMS/finance system improvements.
I’m looking for someone who:
- Has at least 5 years’ hands-on bookkeeping experience
- Is genuinely fluent in Xero
- Has independently managed bookkeeping for a small business with 100+ monthly transactions
- Is organised, precise and comfortable working autonomously
- Takes ownership of their domain and handles occasional corrections professionally
If the work is delivered accurately and on time, you are free to structure your hours in a way that works for your home life. The role is fully remote however if working from my home (by mutual agreement) would make things easier or feel more connected, I am open to that too. UK-based applicants are preferred, as occasional in-person working may be helpful over time.
Budget: £550–£650 per month depending on experience.
