Job Purpose:
Be the Business is an independent charity which aims to bring together businesses of all sizes and sectors to inspire collaboration and greater productivity. Our Boards programme achieves this by offering the support of a board of volunteers, meeting quarterly for a year, to help a small business leader with the challenges they are facing.

We're looking for new team members to join us and help to ensure our meetings run smoothly. The roles are part time, and we've got a range of hours available so we'd be happy to consider hours that work for you, up to a maximum of 24 per week.

The Boards Administrator role is the key point of contact for all board participants during their time on the programme. They will be responsible for coordinating and scheduling meetings, creating agendas, recording actions in meetings, answering any queries, and overseeing the smooth running and customer success of the boards. It is our goal to strengthen and enhance the sense of community that all our participants – whether they be our small business customers, our volunteers, or our partners and funders feel.

Key tasks include:
Supporting new participants through onboarding calls
Coordinating and scheduling meetings
Creating and circulating meeting papers
Supporting the chair and recording actions in meetings
Managing collection and response to survey feedback
Managing and hosting Zoom calls
Update board participants of any changes or important information
Supporting the small business participants throughout their journey
Reporting on levels of engagement and addressing any challenges
Supporting with requests for case studies and testimonials
Carrying out telephone ‘health checks’ to see how participants are getting on.

Experience and Skills
3+ years’ experience of administrative or secretarial functions
Ability to plan and coordinate meetings
Experience in minute taking
Ability to confidently use Microsoft Office and other digital tools
Able to work flexibly, and to tight deadlines

Additional Information
This is a home-based role in which a majority of the time will be spent in online meetings, requiring reliable and fast broadband connection. You must live in and have the right to work in the UK.
