Help No treasurer!

Now we will be stuck our treasurer did loads and loads of work> but now she has handed in her notice........... Just don't know how or if we can replace her.. HELP

is it a voluntary job? Can you put a plea out to parents saying the job needs to be filled in order for the pre school to be able to run correctly. Maybe say 2 can do it even though this may be difficult it may help the parents confidence to know that they can work as a team.

Out treasurer job is shared by 2 people, the public face who collects in and banks money and then the more behind the scenes one (a mum who works fulltime) who does the books, pays the bills etc. it has worked well for us and will continue next year even though one of them is moving on.

You can employ a book keeper, and have a much lesser role fo rtreasurer.

Hi I dont think we can pay anyone at the moment as we are trying to get a new building and at the mo are in a temporary home this has affected our numbers so we dont have much spare cash.

Its just so hard to get replacements when anyone leaves people just dont seem to want join the committee And this time of year is so hard as lots starting school in sep

we are going through the same thing ,need a whole new committee,have sent pleading letter to parents...no luck yet.

Do you know the answers to these questions?

Who manages your child?s Pre-school?

Who employs the staff, sets pay and issues contracts?

Who sets policies and fees?

The answer is ?You do!? or at least you could if you were a member of the management committee.

A voluntary committee of parents manages your pre-school. Without its committee, the pre-school would not be able to operate.

We are now seeking nominations for several new members.

What Would Joining the Committee Involve?

To be a committee member is not a demanding job. All that is needed is your enthusiasm and a little of your time. Almost all of the routine day to day administration of the pre-school school is carried out by the paid staff. The committee?s function is one of management, overseeing the smooth running of the pre-school, according to its policies, constitution and registration.

What do Members Actually Do?

Committee Member: Attends and votes at committee meetings. A member can also get involved with fundraising. The committee discusses fundraising activities, social events, outings, fees, admissions, financial matters, new policies etc.

Your pre-school needs YOU!

Please consider joining the committee and becoming a little more involved in the life of your pre-school.

Remember that without the support of its parent committee, Millfield Pre-school will not be able to continue. This would be a tragic loss, not only to the children and families currently attending, but also to the local community as a whole.

Did you only send it out to current parents? Do you have a new cohort of kids signed up for September? Make sure they get it in their welcome pack or whatever they get. Get the Treasurer to write out a job description, ask her if any tasks could be passed on, maybe create an volunteer admin role if it looks very daunting (also look at Chair & secretary's job descriptions too).
Have you made it clear whether meetings are evenings or daytime etc?

Great idea to put a letter in the welcome packs. have had a look at the packs there is not much info in there about our committee oops something elce thats been over looked.
We usualy hold our meetings in the evenings as that seems to work best for us! sometimes they are at someones house sometimes at the pre school. They are quite well advitised when we are holding them at pre school.
We have a committee hand book that goes into the job description in detale to much i think scare them off to early


Lucky for us we have filled the role till september........ at the mo... She will see how it goes

We're having a summer fete/funday this Saturday. It's mentioned in the welcome packs so hopefully some of the September parents will come and see how much fun can be had. (I've just finished naming 86 stuffed toys for my Adopt an Animal tombola stall .)

Well you've got to get them while they're hot, with money burning a hole in their pockets for their firstborn's first schoolish experience . We also give them details of the jumpers/t-shirts and nametapes they can buy before September.

It really pisses me off that preschool are held togethr by the goodwill of parents who are panicing in the background. It makes me so

there was a good thing on another thread:

"In an ideal world school (and preschhols) would have all the money they need and the army would hold a summer fete to buy a new tank."

That would be great they would never have time to fight ... They would be too stressed trying to name all those stuffed toys
thanks as you might of noticed I'm a bit new to all this and we had so many problems to sort out, its been easy to over look lots of other stuff which long term we need to do and put in place to help us.

So all ideas welcome

I had an 'open meeting' at my house for parents to find out what Committee did and also to help organise a summer party. Meeting was at 9.30am, after morning drop-off, I served coffee & cakes, invited all their babies & children and had toys out etc.

I now have 10 definite new members for Sept and another 5 possibles. Which is good as there are only 2 of us staying on.

Re: treasurer role, we now pay a bookkeeper, a payroll clerk and we have an accountant for the annual accounts & budget forecasts (he's voluntary, hurray). It's made the committee role far more attractive as it's just fundraising and banking. It's worth thinking about when you have the spare money. There seem to be an awful lot of 2yo's for next year so hopefully numbers will be up

shame you cannot afford a professional as it makes things so much easier.

can you do a bit of begging asking if anyone has any relaitves or friends in accounting etc. It takes very little time when you know what you are doing.

Ideal voluntary job for a retired bookkeeper/accountant - could ask in your newsletter/welcome packs or advertise free via your local Voluntary Services.
