Talk me through process to do CRB checks? Please.....!?

Taking it over for preschool.

How close is this to the correct procedure...??

  1. Applicant rings the group we pay to apply to CRB (Capita). Gives various details,


  1. Capita sends out a DC2=Declaration and Consent form for applicant to fill in (is that the ONLY form?)


  1. Applicant fills in DC2, with 11-digit regist. number for the preschool, and Committee named as "the Registered person", sends back to Capita or hands to Preschool Commitee to send back.


  1. We wait 1-8 months for a reply (I know they can take that long).


  1. Must have CRB clearance for our specific preschool, in given specific capacity. Can ring Ofsted to ask if other CRB checks are good enough (e.g., one of our committee has CRB clearance to be cleaner at another preschool, but that may not be good enough to be on our committee, etc.)


  1. CRB clearance must be renewed every 3 years.


Which parts do I have wrong? Please help!!

Do you get notification from Capita that the disclosure is satisfactory? Who gets notification if there are convictions listed? What would be the procedure if convictions are listed? Who would deal with it?

Where do you keep records? Are the records under lock and key? Who is responsible for maintenance?

Do you have a policy on employing ex-offenders? Are you aware of the Rehabilitation of Offenders Act? Have you seen the CRB code of conduct?

Answer to all questions: Don't know! Should we have long written policies on each of those questions? Can you give me link to "CRB code of conduct"? Not sure what you meant.

How to ensure consistency of record maintenance and responsibilities when Committee members change every 3 months, or so? We currently have no Chair (long story, Ofsted knows).

I dimly recall that when Osted did CRB they came back with a summary one-liner "this person is suitable" or "this person isn't suitable". Now do we take the results, ifnot 100% satisfctory, directly to Ofsted, and ask them if suitable? Is that what we are supposed to do?

Also, if someone has recent CRB but in another setting, can we just ring Ofsted and ask for advice if new CRB needed? I know a friend did this last year at her preschool, but that was 5 months ago, Ofsted has probably rolled out 3 policy changes since.

When I had my CRB check at school it took about 2 weeks I had notification and the school. It was then enhabced discoluse one. I illed in the form and had to take my passport and driving license for my boss to check and then she sent it off with the fee.

Capita send the applicant their 'enhanced disclosure' which lists any recorded offence. Our Chair would look at this, make sure it's clear, then record the number and give the disclosure back to the applicant - not allowed to keep that info.

Wow, 2 weeks. Me + someone else I know took us over 6 months to get it back.

Isn't there another form to fill in, or is it deff just DC2 (Decl+Consent)?

Maybe I do understand procedure ok, just wish someone else had written it out, like I had, because I can't find anything similar written on 'Net so can't be sure that's basically it.

There is only one form to fill in. CRBs done for another job may be able to be transferred to new job if it was done recently.
I work for a supply agency and have to have a new CRB every year, this is becauss we work in a lot of different nurseries and it is better for the clients.
It is unusual for a CRB to take 6 months unless something was not filled in right, Whenever I.ve had a CRB check it has taken about 6 weeks which is normal.

Maybe the other form you're thinking of is the one for CRB checks which are still done by OFSTED (ie committee members and Supervisor IIRC) - can't remember what they're called though sorry!

This is our procedure.

We get blank CRB form from our umbrella body (our version of Capita

Applicant fills in their part of the form.

Appliant brings in ID to be checked and recorded on the form.

Form sent to registered bodyorm sent back to us if anything is filled in wrong

Copy of disclosure sent to applicant for them to keep and copy sent to us to keep via registered body

What I've found out,now.

What I wrote down below is pretty much right procedure for staff below manager level, AND, for repeat CRBs (CRBs for commitee or manager that have expired).

BUT for initial CRB for new committee or manager, you do CRBs through Ofsted. AND Ofsted DO require a DC2 form to be filled in (download it ). Applicant fills that out, sends off to Ofsted, they send back CRB form, then that gets filled in / checked as for minor staff and sent back to Ofsted (not to the licensed body).

Do you think I'm wrong to perceive that committee members are subject to more stringent checks than staff who have daily contact with the children??

I still have loads of questions, will start another thread.

Gosh, they don't make it simple!!

Oh, and if anybody was wondering, here's the 2002 Act describing crimes that disqualify you from working with children .

Oops, just realised mistake in last post. The umbrella body only does checks for NEW staff below manager level. I think Ofsted does do ongoing checks, though. Seems to be a lack of provision for existing staff who need CRB updates.
